Job summary

The Salvation Army Southern California is seeking a Donor Relations Associate to provide general office and administrative support to the Intermountain Division's Donor Relations Directors. This role is essential to fundraising through donor communication and file management.

Responsibilities include entering donor data, preparing donor letters, and coordinating mailing efforts. The position requires strong organizational and communication skills, with standard full-time hours and benefits.

Qualifications

  • Some college coursework preferred.
  • At least three years of administrative experience in a general office setting.

  • Working knowledge of Portfolio, Egistics, Wealth Engine, and others.

Responsibilities

  • Enter donor information into Portfolio for each DRD.
  • Attach scanned documents and attach them to donor files.
  • Assist with entering communication notes as requested by DRDs.
  • Prepare and distribute William Booth Society letters and certificates.
  • Support the Special Events Manager for the William Booth Society annual reception.
  • Manage DRD donor hard and electronic files.
  • Run standardized Portfolio reports as requested by DRDs.
  • Coordinate special mailing efforts per the 12-month cultivation plan.
  • General letter writing – Thank you’s, acknowledgments, etc.
  • Maintain spreadsheets for designated donor and stock gifts.
  • Submit expense, motor vehicle & other through Finance procedures.
  • Coordinate with the Development Associate – DM to process letters and forms for DRD caseload donors.
  • Answer and transfer phone calls to DRDs as needed.
  • Conduct Portfolio donor research as needed.
  • General office support.
  • Take notes at all relevant meetings.
  • Maintain and operate folding machine for mailings.
  • Christmas – Seasonal duties
  • Other duties as assigned.

Job description

Job Title: Donor Relations Associate

FLSA Status: Full Time - non-exempt

Reports to: Donor Relations Manager

Schedule: Monday- Friday, Standard office hours

Supervises: N/A

Rate of Pay: $24.00 USD hourly

Closing Date: 9/4/2026

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

  • Health, vision, dental, life as well as voluntary life and disability insurance
  • Sick leave benefit – 1 day per month, 12 sick days per year (accrual and availability begins at hire)
  • Vacation benefit – 10 vacation days per year, accrued at the rate of .0385 hours for each hour worked, excluding overtime (accrual begins at hire but may not be used until the completion of six months of employment)
  • One floating day off for use (accrued immediately, and again annually, but may not be used until the completion of the initial three-month introductory period of employment)

Function

Under the direction of the Director of Major Gifts, the Donor Relations Associate will provide general office and administrative support to the Intermountain Division's Donor Relations Directors (DRDs). This position is critical to the division's fundraising effort through donor communication and interface.

Duties And Responsibilities
  • Major Giving Discipline
    • Enter donor information into Portfolio for each DRD.
    • Includes scanning documents and attaching them to donor files.
    • Assisting with entering communication notes as requested by DRDs.
  • Prepare and distribute William Booth Society letters and certificates as needed.
    • Provide support to the Special Events Manager in the production of the William Booth Society annual reception.
  • Manage all DRD donor hard and electronic copy files in an organized and confidential manner.
  • Run standardized Portfolio reports as requested by DRDs.
  • Coordinate special mailing efforts as communicated through the 12-month cultivation plan.
  • General letter writing – Thank you’s, acknowledgments, etc.
  • Maintain spreadsheets for designated donor and stock gifts as needed.
  • Submit expense, motor vehicle & others through Finance procedures.
    • Coordinate with the Development Associate – DM to process Child Care Contribution and Enterprise Zone letters and forms for DRD caseload donors.
    • Answer and transfer phone calls to DRDs as needed.
    • Conduct Portfolio donor research as needed.
    • General office support
      • DRD expense report preparation.
      • Maintain office supplies, copier, and troubleshooting issues.
      • Create donor meeting presentation materials.
      • Assist other development disciplines as needed.
      • Take notes at all relevant meetings.
      • Maintain and operate folding machine for mailings.
  • Christmas – Seasonal
    • Other duties as assigned.
    • Christmas CD purchase and distribution.
    • Holiday cards – coordinate Thanksgiving & Christmas CD mailing.
  • Performs other duties as required
