Job summary

Austin Pets Alive! is seeking a Data Entry Coordinator for the Advancement Team in Austin. The role focuses on high-volume data entry, donor management, and supporting fundraising activities with volunteers.

You will process gifts, maintain donor records, and produce reports to aid fundraising efforts across APA!’s campuses. The position requires experience with donor databases (Virtuous CRM) and strong Excel/Google Sheets skills, plus a passion for animal welfare and volunteer engagement.

Qualifications

• Minimum 2 years of hands-on experience in high-volume data entry, database administration, or transaction processing.
• Experience with donor databases/CRMs, especially Virtuous CRM.
• Advanced Google Sheets and Microsoft Excel skills (data cleaning, formulas, batch imports).
• Commitment to APA!’s mission and values; ability to work with staff, volunteers, and customers.

Responsibilities

• Actively contribute to a volunteer-powered culture by partnering with volunteers during every shift and creating an inclusive environment.
• Support recruitment and onboarding by welcoming new volunteers and orienting them to the program.
• Help retain volunteers with encouragement, guidance, and feedback during shared work.
• Assist with producing daily gift summaries, pledge reminders, and distribution lists.
• Reconcile daily/weekly transaction logs with bank records and finance spreadsheets.
• Collaborate with Finance to resolve coding discrepancies and processing exceptions.
