Job summary

Eye Thrive in St. Louis seeks a Donor Data Coordinator to maintain donor and gift records, process donations, and manage our CRM with accuracy and care.

You will support donor engagement, reporting, moves management, and events, coordinating with the development team and leadership to ensure timely acknowledgments and data integrity across fundraising activities.

Responsibilities

  • Accurately record and code all donations (cash and in-kind) in CRM and trackers.

  • Maintain donor records, addresses, and communication preferences in CRM.
  • Prepare regular development reports and moves management data.
  • Support event registration, logistics, and data entry for fundraising events.
  • Collaborate with leadership to implement development plans and improve CRM use.
  • Provide data management support to Operations/Development/Admin teams as needed.

Job Description: Donor Data Coordinator

Who We Are:
  • Eye Thrive is a locally recognized 501(c)(3) nonprofit that empowers children to pursue their full potential by delivering essential eyecare across the St. Louis region.
  • We operate two Mobile Vision Clinics that bring comprehensive vision care directly to the populations we serve, both at schools and community visits.
  • We provide vision screenings, comprehensive eye exams, prescription glasses, replacement glasses, and follow‑up care referrals, all completely free of charge.
Job Overview:
  • The Donor Data Coordinator supports fundraising by maintaining accurate donor and gift records, processing and acknowledging all monetary and in‑kind donations, and managing the organization’s CRM. This role supports donor engagement, reporting, gift reconciliation, events, and other development activities while ensuring data is accurate and up to date.
  • Success in this role requires strong organization, attention to detail, adaptability, and the ability to manage multiple priorities in a fast‑paced environment.
Job Type:
  • Permanent; Full Time; Exempt.
  • Expected 40 hours/week; Monday-Friday; Occasional weekends.
  • Participation in morning/evening meetings and special events will be required as needed.
  • Reports to the CEO.
Essential Duties and Responsibilities:
  • Donation Management
    • Accurately record and code all donations (cash and in‑kind) in CRM and internal trackers for accurate donor tracking and recognition purposes.
    • Manage and execute the thank‑you protocol for all donations and coordinate with the development team to ensure timely, personalized donor follow‑up.
    • Maintain accurate CRM data, including donor records, addresses, and communication preferences.
    • Receive and process donations/reimbursements weekly.
  • Donor Cultivation & Stewardship
    • Prepare for upcoming donor touchpoints and coordinate with the development team to ensure all touchpoints are completed.
    • Manage segmented donor lists in the CRM, including lapsed donors, to support personalized and targeted donor communication.
    • Create mailing lists and execute physical and digital mailings.
  • Reporting and Reconciliation
    • Prepare regular development reports, including campaign results, donor giving histories, and moves management reports.
    • Reconcile monthly financial reports to ensure accuracy between the CRM and accounting system.
    • Analyze donor data to support tracking of annual development goals.
    • Assist with annual audit preparation.
  • Special Event Support
    • Support development events through registration, logistics, and day‑of‑event coordination.
    • Become the organization’s expert on event platforms, using them to manage data entry, logistics, reporting, and event execution.
    • Train team members on event roles and event platform use.
  • Development Support
    • Maintain and track development department inventory.
    • Maintain and update CRM processes and protocols while identifying opportunities to improve CRM use and streamline development processes.
    • Support the development team in implementing the annual development plan.
  • All Team and Project Support
    • Support Operations/Development/Administrative teams (i.e. data management support, survey review support, health fair liaison, etc. ) as needed.
    • Collaborate with all team members to increase the efficiency of our service and impact of our organization.
    • Partner with leadership to help implement Eye Thrive’s strategic plan, and advance the plan by holding self accountable and collaborating with the team to ensure organizational priorities, goals, and targets are met as outlined.
    • Participate in professional development opportunities, including coachings, trainings, and workshops.
    • Maintain constant, consistent and open communication with all members of the Eye Thrive team in order to contribute to our “all hands on deck” organizational model - an informed team is a successful one.
    • Execute Eye Thrive’s mission by centering kids and families in all decisions and actions. Lead with empathy, compassion, and trust in your interactions with site partners, kids, and teammates.
    • Complete other tasks as assigned and required by CEO.

Physical Requirements and Working Conditions:
  • Physical Demands
    • Must be able to lift and carry 25 pounds on occasion when supporting Eye Thrive events during set‑up and tear‑down.
    • Ability to move up and down stairwells.
  • Work Environment
    • Works at a shared workspace office at Eye Thrive headquarters at the Delmar DivINe.
    • Occasionally travels to the Eye Thrive warehouse located in Overland.
    • Occasionally travels to the Mobile Vision Clinic at various schools and community centers throughout Greater St. Louis.
