Position SummaryDonor
The Jewish Federation of San Antonio seeks a detail-oriented and analytical Donor Services Coordinator to oversee the organization's donor information system and support fundraising operations systems.
This position is responsible for maintaining accurate constituent records, processing charitable contributions and pledges, generating donor acknowledgements and reports, and ensuring the integrity of donor information that supports effective fundraising, financial reporting, and exceptional donor stewardship.
The successful candidate will demonstrate exceptional attention to detail, strong organizational and analytical skills, financial accuracy, and a commitment to outstanding customer service while serving as a trusted partner to the Development, Finance, and leadership teams.
Donor Gift Administration
- Process and record all charitable contributions, pledges, sponsorships, and recurring gifts in a timely and accurate manner.
- Review donations received through multiple channels, including online giving platforms, payroll deductions, securities, checks, and electronic payments.
- Generate and distribute donor acknowledgments and tax receipts in accordance with organizational standards and IRS requirements.
- Prepare and distribute pledge reminders, billing statements, and collection notices.
- Monitor and track outstanding pledges and donor commitments.
Database Records Management
- Serve as primary administrator of the Federation's CRM platform.
- Maintain accurate constituent records through ongoing data review, correction, and enhancement.
- Manage duplicate record identification and resolution.
- Develop and maintain database standards, policies, and procedures.
- Configure and maintain custom fields, constituent categories, campaigns, appeals, and reporting structures.
- Monitor software updates and implement system enhancements as appropriate.
Reporting and Analytics
- Develop and distribute regular fundraising, campaign, donor, and financial reports.
- Create custom reports and dashboards to support management decision-making.
- Analyze donor and fundraising data to identify trends, opportunities, and areas for improvement.
- Support campaign planning and donor segmentation initiatives through data analysis.
Financial Support and Compliance
- Support Finance staff by providing donor gift data and documentation needed for reconciliation processes.
- Maintain documentation supporting audits and financial reviews.
- Ensure compliance with donor intent, organizational policies, and applicable regulations.
Process Improvement
- Develop, document, and maintain standard operating procedures for fundraising operations.
- Identify opportunities to improve efficiency, data quality, reporting, and donor stewardship processes.
- Recommend and implement workflow improvements and automation solutions when appropriate.
Collaboration and Support
- Partner with Development staff to support fundraising campaigns and donor engagement initiatives.
- Collaborate with Finance staff to ensure accurate financial reporting and reconciliation.
- Provide database training and support for staff users.
- Assist with donor mailings, event support, and special projects as assigned.
Required Qualifications
- Associate’s degree in business, accounting, finance, information Systems, Nonprofit Management, or related field; or minimum of two years of experience administering a CRM or comparable customer/constituent database.
- Experience in processing financial transactions with a high degree of accuracy.
- Intermediate proficiency in Microsoft Excel, including pivot tables, lookups, filters, and reporting tools.
- Demonstrated ability to manage confidential information with discretion and professionalism.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
Preferred Qualifications
- Two or more years of nonprofit fundraising operations experience.
- Experience with Community Suite or similar nonprofit CRM platforms.
- Experience with donor stewardship and gift administration.
- Familiarity with online payment platforms and donor management systems.
