Job summary

Shalom Austin is seeking a Donor Services Coordinator to ensure timely gift processing and accurate acknowledgements while delivering outstanding donor service. The role requires meticulous data handling, strong time management, and clear written and verbal communication in a fast-paced environment.

You will handle gifts across multiple channels, maintain donor records, and generate reports to support fundraising and financial reporting.

Qualifications

  • Associates degree or equivalent; nonprofit admin experience preferred.
  • 3+ years professional office experience, preferably nonprofit.
  • High accuracy in data processing and data integrity.
  • Strong organization, time management and multitasking abilities.
  • Excellent written and verbal communication for donors and colleagues.
  • Ability to work independently and in a team.
  • Discretion with confidential donor information.
  • Proficiency with Microsoft Office; experience with Raiser’s Edge preferred.

Responsibilities

  • Process and record all contributions in Raiser's Edge, including gifts, pledges, payroll deductions, online donations, events, and stock gifts.
  • Maintain donor records, update information, notes, and gift documentation; assist with audits.
  • Prepare and produce weekly gift acknowledgements, tax receipts, and donor correspondence.
  • Manage pledge lifecycle, payment preferences, tracking, and reminders.
  • Serve as primary contact for donors and financial advisors on gift processing and tax docs.
  • Generate queries, reports, exports, donor lists, and gift summaries for fundraising and reporting.
  • Provide admin support for fundraising initiatives and events.
  • Collaborate with Development and Accounting to protect donor information and activity.

About the Job

The Donor Services Coordinator is responsible for timely and accurate gift processing and acknowledgements while providing outstanding customer service to donors, staff and financial partners. This position requires meticulous attention to detail, excellent time management skills, strong written and verbal communication, and the ability to manage multiple projects at once in a fast-paced environment.

You’ll wow us by masterfully performing the following key duties and responsibilities:

  • Process and record all contributions in Raiser's Edge, including gifts, pledges, pledge payments, matching gifts, payroll deductions, online donations, event registrations, and stock gifts, ensuring accuracy and timely entry.
  • Maintain the integrity of donor records by updating constituent information, constituent codes, notes, and gift documentation; perform ongoing database maintenance and routine data clean-up projects. Reconcile data entry by ensuring gifts, campaigns, funds, and pledges are accurately coded and documented; maintain supporting records for audit purposes and collaborate with accounting as needed.
  • Prepare and produce weekly gift acknowledgements, tribute notifications, annual tax receipts, and other donor correspondence in a timely and accurate manner.
  • Manage pledge lifecycle, including pledge entry, payment preferences and tracking, reminder communications, documentation of multi-year and restricted pledges, in coordination with other team members.
  • Serve as a primary point of contact for donors and their financial advisors regarding gift processing, payment methods, stock transfers, tax documentation, and other donor service inquiries, providing responsive and professional customer service.
  • Generate queries, reports, exports, donor lists, and gift summaries to support fundraising, stewardship, financial reporting, and portfolio management.
  • Provide administrative and operational support for fundraising initiatives and events, including event preparation, day‑of support, donor information management, and other duties as assigned.
  • Collaborate closely with Development and Accounting staff to ensure the accurate, timely, and confidential management of donor information and gift activity.

Requirements
  • Associates degree, in Business Administration, Nonprofit Management, Communications, Public Administration, or a related field, or an equivalent combination of education and relevant experience.
  • Minimum of three (3) years of experience in a professional office environment, preferably in nonprofit administration, donor services, or data management.
  • Exceptional attention to detail and demonstrated success processing high volumes of data while maintaining accuracy and data integrity.
  • Strong organizational, time management, and multitasking skills, with a proven ability to manage competing priorities and meet deadlines in a fast‑paced environment.
  • Excellent written, verbal, and interpersonal communication skills, including a commitment to providing outstanding customer service to donors, constituents, and colleagues at all levels.
  • Sound critical thinking, problem‑solving, and decision‑making skills, paired with professionalism and composure in a deadline‑driven environment.
  • Demonstrated ability to work independently while contributing effectively as a collaborative team member.
  • High level of integrity, discretion, and professionalism when handling confidential donor and organizational information.
  • Proficiency in Microsoft Office Suite, Prior experience using Raiser’s Edge (preferred) or equivalent complex database.
  • Flexibility to work occasional evenings or weekends in support of organizational events.
Preferred Qualifications
  • Raiser’s Edge, RENXT, Financial Edge, FENXT, and Luminate Online experience
  • Bachelor’s degree, in Business Administration, Nonprofit Management, Communications, Public Administration, or a related field, or an equivalent combination of education and relevant experience.
  • Cultural competency with Judaism or Jewish culture
