Our firm manages nearly 1,000 subcontractors working for the Social Security Administration (SSA). The Project Coordinator oversees processing applicants through suitability and credentialing, working with SSA offices nationwide.

Reporting to the Recruitment Manager, the Project Coordinator must be highly organized, capable of working with multiple stakeholders, and able to coordinate with SSA management and subcontractors. The role requires working under tight deadlines in a high-volume environment, with excellent attention to detail and data management skills. The ideal candidate will demonstrate strong interpersonal and organizational skills, multitasking ability, excellent communication, and a commitment to high-quality service.

Key Responsibilities
  • Guide subcontractors through suitability and credentialing processes, collecting necessary documentation
  • Send initial forms to initiate suitability process
  • Use Podio to document actions and track data
  • Complete e-QIP process, including fingerprint appointment coordination
  • Create and submit process and status reports as needed
  • Follow existing procedures and processes
  • Maintain active daily communication via email and phone
  • Notify POC of client communications requiring attention
  • Support Project Manager and Assistant Project Managers to meet contractual requirements with SSA
  • Manage compliance documentation and requirements annually
  • Perform quality control on received documentation
  • Manage candidate and subcontractor data systems, updating and inputting data
  • Suggest improvements for tracking and workflow processes
Qualifications
  • Bachelor’s degree preferred; relevant experience considered
  • Proficient in Microsoft Office Suite and Adobe Acrobat
  • At least 2 years of customer service and administrative experience (e.g., call center, support)
  • Ability to collaborate cross-functionally with project teams
  • Extremely detail-oriented and organized
  • Timely issue resolution skills
  • Initiative, independence, and deadline management
  • Strong communication and customer service skills (oral and written)
  • Experience with Accounts Payable/Receivable or finance background is highly desirable
