Job summary

WSP is seeking a Document Control Manager to join our Project Controls team in Tulsa, OK. This is a full-time onsite role.

The position requires extensive experience in implementing document management systems for large design/construction programs and leading EDMS initiatives. You will develop and administer the Document Management Plan, oversee Document Control procedures and training, supervise the Document Control team, and ensure QA and contractual compliance while coordinating with project

Qualifications

  • Bachelor's degree or equivalent.
  • 7–10 years of Document Control experience on design/construction projects.
  • Experience implementing document management systems for large programs.
  • Advanced MS Office including SharePoint.
  • Experience supervising a Document Control team.
  • Strong written and verbal communication.
  • Ability to manage multiple deadlines.
  • Knowledge of EDMS and document management processes.

Responsibilities

  • Influence project narrative to support vision and initiatives.
  • Set up and manage EDMS for large programs.
  • Monitor and manage the Electronic Document Management System(s).
  • Develop and administer the Document Management Plan.
  • Develop and implement Document Control Procedures and training.
  • Coordinate with IT/PM Systems for access and security.
  • Produce progress reports.
  • Ensure QA and contractual compliance in document management.

Job description

WSP is seeking a Document Control Manager to join our Project Controls team. This is a full time onsite role in Tulsa, OK.

Your Impact

Duties and Responsibilities:

  • Influence the narrative by understanding what needs to be done to support the project vision andinitiatives
  • Experience in implementation of document management systems for large/mega programs in design/construction
  • Experience setting up document management systems and managing from inception, through duration to final completion and closeout of project
  • Monitor and Manage the Electronic Document Management System(s)
  • Develop andadminister theproject“Document Management Plan”
  • Develop and administer Document Control Procedures and Training Guidelines
  • Working knowledge and experience in SharePoint, Procore, Trimble, Aconex, ACC, Bluebeam software or equivalent.
  • Electronic Document Management Certifications.
  • Work withProjectInformation ManagementSystemsTeam for access, security and troubleshooting.
  • Knowledge of document management process and procedures and systems
  • Perform reoccurring training on Document Management Requirements and EDMS use
  • Implement efficient work‑flow process, initiate and track document reviews
  • Retrieve files Upload / Download files from EDMS, Manage Document Naming, Convention, numbering, assigning, distribution.
  • Process Incoming/Outgoing Transmittals and documentation
  • Initiate and track reviews through Bluebeam Sessions
  • Ensure that electronic record files as required are maintained in good order to comply with QA and contractual requirements
  • Optimize Document Control productivity, efficiency, and service quality across all departments.
  • Work with project department leads to ensure timely processing of documentation along with any future updates
  • Produce progress reports as required

Who You Are

  • Bachelor's degree or equivalent
  • Minimum 7-10 years of Document Control experience working on design, construction or similar projects including start-up and closeout processes.
  • Experience in implementing document management systems and procedures for large and mega programs in construction.
  • Advanced computer and word processing skills using MS Office applications including SharePoint
  • Experience supervising and leading Document Control Team Members
  • Excellent interpersonal, written and verbal communication skills
  • Ability to coordinate several high-priority deadlines simultaneously
  • Maintain confidentiality at all times
  • Excellent written and verbal communication skills
  • Technical knowledge of industry documents, records and data management systems
  • Demonstrate experience with typical Microsoft office applications, such as Word, Power Point, Excel and Visio
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
