Qualifications

  • Engineering degree or technical administration related to the field.
  • 2–5+ years of document control experience in engineering, construction, manufacturing, energy, or industrial sectors.
  • EDMS or project collaboration platform experience is preferred.
  • Strong understanding of engineering drawings, terminology, and doc conventions.
  • Proficiency with MS Office and SharePoint; PDF markup tools familiarity.
  • Excellent attention to detail, organization, and communication.
  • Ability to manage multiple priorities and deadlines with integrity.

Responsibilities

  • Maintain, organize, and update engineering documents per standards.
  • Manage document workflows: creation, review, approval, issuance, archiving.
  • Ensure proper numbering, metadata, and formatting of documents.
  • Control records for projects, design packages, as-built docs, maintenance files.
  • Enforce revision control for latest approved documents.
  • Ensure regulatory, quality, and internal standard compliance.
  • Track changes, revision histories, and controlled copies.
  • Administer EDMS or document control tools (e.g., Procore, SharePoint).
  • Create and manage user permissions, folders, and workflows.
  • Provide system support and basic training for users.
  • Coordinate with engineering, procurement, construction, operations, and maintenance teams.
  • Assist in compiling design deliverables, RFIs, test records, vendor dossiers.
  • Support project close-out and keep final documentation archived.
  • Perform regular audits for data accuracy and file storage adherence.
  • Identify discrepancies and ensure searchable, tagged documents.
  • Act as focal point for doc distribution between teams and stakeholders.
  • Provide timely notifications on status and deliverables.
  • Maintain trackers and reports on document progress and approvals.

Job Description

Reporting to thecompany’sVice President of Engineering, theDocument Controllerwillmanage the creation, distribution, revision, and storage of engineeringand maintenancedocumentation across the organisation. This role ensures that all engineering and technical documents—including drawings, specifications, procedures, manuals, reports, and vendor data—areaccurate, current, and easily accessible to project teams, maintenance staff, and engineering stakeholders.The ideal candidateis a highly organised and detail-driven person whounderstands engineering documentation processes, version control, and technical terminology, and is comfortable working in fast-paced project or operational environments.

Job Requirements
  • Degree in engineering, technical administration, information management, or a related field.
  • 2–5+years of experience in document control, preferably in engineering, construction, manufacturing, energy, or industrial sectors
  • Training or certification in document control principles is an asset.
  • Experience with electronic document management systems (EDMS) or project collaboration platforms.
  • Understanding of engineering drawings, technical terminology, and project documentation conventions.
  • Proficiencyin Microsoft Office, with focus on MSSharePoint; familiarity with PDF markup tools and technical file formats.
  • Exceptional attention to detail, accuracy, and organisation.
  • Strong communicationand coordination skills.
  • Ability to manage multiple priorities and deadlines.
  • High levelof integrity and commitment tomaintainingdata quality
  • Experience supporting multidisciplinary engineering teams is highly desirable.
  • Knowledge of engineering design workflows and project documentation lifecycles.

Otherimportantrequirements:

  • Pre-employment screening, including background check and substance testing may be required according to company policies.
  • Must provide own steel-toed work boots; other PPE will besupplied.
  • Must be able to reliably commute to thework sitedaily or have plans to relocate before starting work.
Job Responsibilities

  • Track document changes,maintainrevision histories, and manage controlled copies.
  • Administerinternal and externalelectronic document management systems (EDMS) or engineering document control tools (e.g., Procore, SharePoint).
  • Create and manage user permissions, folder structures, and workflows within the system.
  • Provide system support, troubleshooting, and basic training for users.
  • Coordinate with engineering, procurement, construction, operations, and maintenance teams to ensuretimelydocument flow.
  • Assistin compiling engineering documentation packages such as design deliverables, RFI responses, test records, vendor dossiers, and construction records.
  • Support project close-out by ensuring all as-built and final documentation is collected, validated, and archived.
  • Perform regular audits to ensure data accuracy, correct file storage, and adherence to document control standards.
  • Identifyand resolve discrepancies, missing documentation, or non-compliant file structures.
  • Ensure engineering documents are classified, tagged, and searchable for efficient retrieval.
  • Act as the focal point for document distribution between internal teams, contractors, and external stakeholders.
  • Providetimelynotifications and updates to project teamsregardingdocument status and deliverables.
  • Maintain trackers, logs, and reports on document progress and approvals.
