Job summary

Qualus Corporation is seeking a Document Controls Specialist within its Program Management organization. The role provides administrative and document control support to the Project Director, Project Manager, P/CE, and site CST and QA teams to ensure accurate and complete project documentation.

Responsibilities include maintaining schedules, supporting turnover packages, and contributing to daily/weekly/monthly reporting while upholding project procedures and confidentiality.

Qualifications

  • Proficiency in electronic documentation software including MS Word, Excel, SharePoint, and PMIS iDOCS.
  • Experience establishing and reviewing document naming/numbering formats per project standards.
  • Knowledge of engineering drawing/documentation standards to ensure proper archiving.

  • Develop and maintain Owner's schedules and Integrated Master schedules with contractors and stakeholders.
  • Assist monitoring safety, environmental, and quality management; participate in EHS activities.
  • Provide input for document reviews and turnover packages.
  • Prepare daily logs, weekly reports, and monthly project progress reports.
  • Contribute to system walkdowns, punch lists, and turnover between EPC and Owner teams.

Position Overview

Power Your Future with Qualus as a Document Controls Specialist in our Program Management organization. This role will provide administrative support and document control support to Project Director, Project Manager, Project/Commissioning Engineer (P/CE) and site CST and QA team members.

Responsibilities
  • Development and maintenance of Owner's schedules and Integrated Master schedules including all contractors and stakeholders.
  • Assist in monitoring the safety, environmental, and quality management of the Site Work.Participates in all EHS activities as required by the project team.
  • Provide input and support for document reviews.
  • Provide input and support for turnover packages.
  • Provide input into daily logs, weekly reports, and monthly project progress reports.
  • Participate in system walk downs, develop completion punch lists, and ensure accurate and complete documentation of system checkout, compliance checks and turnover between EPC Contractor's Construction and Start-up/Commissioning Teams prior to Owner Substantial Completion.
  • Participate in Owners and EPC meetings.
  • Assure that turnover packages, initial acceptance, testing, and punch lists for each system are complete and approved.
  • Compile System Description Library and System Commissioning index for Owner’s project team and distribute to Project Management.
  • Participate in regular meetings with the Owner Project team to inform them of progress and issues.
  • Conduct all activities in accordance with the agreed-to Project Procedures.Maintain the confidentiality of the Owner and EPC contractor information.

Minimum Qualifications
  • Knowledge and proficiency in electronic documentation software and system including MSWord, MSExcel, MSSharePoint, and contractor PMIS iDOCS.
  • Experience in setting up and reviewing document naming and numbering formats to ensure consistency per project and work group standards.
  • Experience and knowledge in engineering drawing and documentation standards (general), nomenclature and engineering disciplines to ensure naming, numbering, and archiving are maintained accordingly.
  • Experience in field records review for quality assurance and completeness and the ability to identify document deficiencies for escalation.
  • Communication skills to facilitate information and document exchange between contractor(s) and the utility.
