Job summary

Yates Construction is seeking a Document Control Specialist in Texas to support a large mega project. You will ensure timely, accurate document management, uphold best practices, and assist with EDMS administration to keep deliverables current.

You will handle document control activities, coordinate distribution matrices, and serve as the focal point for inquiries from clients, suppliers, and third parties, while aligning with compliance, archiving, and safety requirements.

Qualifications

• High school diploma or GED required.
• Familiarity with ProjectSight Trimble.
• Experience with document and data management processes.

Responsibilities

• Manage incoming and outgoing project documents per DC processes and deadlines.
• Assist in administering the EDMS deliverables and distribution matrices.
• Serve as focal point for document inquiries with clients, suppliers and third parties.
• Ensure archival requirements for hard copy and electronic records are met.
• Support startup documents, templates, and work instructions for project documentation.

Job description

Reporting to the Project Manager, this role is responsible for ensuring that document control needs on a large mega project are met in a timely and accurate manner ensuring that best practice is consistently met.

Primary Duties:

• Understand current business objectives, challenges, and issues in relation to Information Management
• Assist in system and process improvements in document and data management
• Understand compliance requirements for document and data management
• Undertake a range of document control activities to ensure all project requirements are met with respect to incoming and outgoing documentation, and in accordance with accepted company processes and required deadlines
• Assist in the administration of project EDMS including, ensuring deliverables are kept up to date and follow appropriate DC processes, procedures, and practices
• Transmittal and distribution of documents to both internal and external clients based on document distribution matrices (DDM)
• Act as focal point for all enquiries on project documentation for the project, clients, suppliers and third parties
• Awareness of Yates archival requirements for hard copy and electronic records
• Assist with project start up documents, such as distribution matrices, deliverables register document control plan and its associated procedures, templates, and work instructions
• Demonstrate Yates Core Values and Principles
• Assists with administering the site safety program as required and ensuring Trade Partner compliance with OSHA standards and Yates Site Specific Requirements and all applicable safety codes and regulations.
• Other related duties as needed and assigned by the Manager in support of the successful completion of the project.

Qualifications:

• Highschool Diploma or GED
• ProjectSight Trimble experience

Requirements:

• Approximately one (1) to two (2) years’ experience in document control
• Exposure to EPCM projects
• Exposure to Information Management Technologies
• Knowledge working in a project engineering environment
• Experience and knowledge in start‑up, execution, and handover DM/ IM activities
• Awareness of records management and archiving principles
