JOB TITLE: Docketing and e-Filing Specialist

DEPARTMENT: Information Services

Summary

The Docketing and e‑Filing Specialist is responsible for accurate, timely, and compliant litigation calendaring and electronic filing across federal, state, appellate, and administrative forums. They will partner with attorneys, paralegals, and court personnel to manage critical dates, interpret and apply procedural rules, prepare and submit filings, and ensure documentation is captured and distributed within firm systems. This role serves as a subject‑matter resource on court rules and e‑filing best practices; support complex, multi‑jurisdictional matters in a fast‑paced, deadline‑driven environment.

Key Responsibilities and Duties
  • Review pleadings, correspondence, discovery, notices, and court orders to identify and compute deadlines in accordance with governing rules and case team preferences; enter and maintain those deadlines in the firm’s centralized docketing system.
  • Research local, state, federal, and administrative rules; track judge‑specific procedures and standing orders; address inquiries from attorneys and professional staff; proactively monitor rule updates.
  • Perform electronic filing in federal, state, appellate, and agency forums; ensure compliance with format, service, and fee requirements; coordinate service of process with outside vendors; retrieve and distribute filed documents and receipts; reconcile filing confirmations with docket entries and the firm’s document management system.
  • Generate calendar and deadline reports; assist with automated reporting; maintain court and e‑filing system credentials; troubleshoot access issues.
  • Coordinate with managing attorney or docketing personnel as needed; assist with departmental projects; adhere to firm policies, confidentiality obligations, and quality standards.
Required Qualifications, Skills, and Experience
  • Demonstrated knowledge of litigation processes and docketing workflows; familiarity with federal and state court systems, rules, and electronic filing platforms (e.g., CM/ECF, PACER) and vendor‑based systems as applicable.
  • Minimum of two years of law firm experience in litigation docketing and hands‑on e‑filing; proven ability to compute deadlines accurately and manage competing priorities under tight timeframes.
  • Strong technical proficiency with Microsoft Outlook, Word, and Excel; experience with docketing or calendaring tools such as Milana, eDockets, CourtAlert, CompuLaw, or similar systems.
  • Excellent written and verbal communication; meticulous attention to detail; sound judgment; ability to work independently and collaboratively.
  • High level of professionalism, discretion, and client‑service orientation.
Preferred Experience and Certifications
  • Experience supporting multi‑jurisdictional litigation, including arbitration, appellate practice and agency proceedings.
  • Experience in Pennsylvania state and federal courts required. Experience in other high‑volume jurisdictions also desired.
  • Bachelor’s degree preferred. Will also consider combination of paralegal experience, with associate’s degree or paralegal certificate.
  • Familiarity with additional docketing platforms, rules‑based calendaring tools, and research resources (e.g., SmartRules, Westlaw) for procedural research.
  • Experience within a managing attorney’s office or centralized docketing department; coordination with court clerks and service vendors.
Reporting Structure and Work Environment
  • Reports to the Docket Manager; may collaborate with regional docketing specialists or managing attorneys and staff.
  • Must be comfortable managing tasks independently and communicating effectively with colleagues and court personnel across different time zones.
  • Requires responsiveness to urgent filing needs and court‑imposed deadlines.
  • Primarily sedentary role with close visual acuity for extensive document review and computer‑based work.
  • Uphold rigorous standards for confidentiality and data integrity in all docketing and filing activities.
