Position Overview

IDOC is looking to hire an Office Assistant to maintain logs and record keeping for a variety of shakedowns, inspections, furloughs and roster management. In addition, this position will keyboard and/or revise memorandums, letters and correspondence, sort and distribute mail, provide secretarial support, monitor post descriptions and ensure the crisis manual and institutional directive manuals are accurate and updated. Essential Functions
  • Maintains logs and record keeping for employee shakedowns, roster management, safety and sanitation inspections, institutional zone inspections, writs and medical furloughs and dorm and individuals in custody shakedowns.
  • Keyboards and /or revises memorandums, letters, and other correspondence.
  • Sorts mail daily and distributes to the appropriate areas.
  • Provides secretarial support to departments with no secretarial staff, such as Training and Maintenance.
  • Monitors post descriptions to ensure they are updated.
  • Ensures the crisis manual and the institutional directive manuals located in the Shift Supervisor's office are accurate and updated as revisions are distributed.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year of related office experience.
  • Requires ability to keyboard accurately at thirty-five (35) words per minute.
