Job summary

The Illinois Department of Corrections is seeking an Office Coordinator at Dixon Correctional Center to perform individual in custody master file review, process all disciplinary tickets, and enter information into Offender 360 (O360). You will keyboard a variety of charts, reports, documents, and forms including legal, medical and/or psychological terminology.

Hours are 8am–4pm, Monday through Friday, with the Dixon Center at 2600 N Brinton Ave, Dixon, IL 61021; union position with

Responsibilities

  • Input custody movement data concerning court writs, hearings, transfers, and related actions.
  • Keyboard complex charts, reports, documents, including legal/medical terminology.
  • Perform other duties within the scope of the job as assigned.

Position Overview

IDOC is looking to hire an Office Coordinator to perform individual in custody master file review, process all disciplinary tickets and enter information into Offender 360 (O360), and input individual in custody movement data into the computer system. In addition, this position will keyboard a variety of charts, reports, documents, and forms including legal, medical and/or psychological terminology. Essential Functions
  • Performs individual in custody master file review for accuracy and completeness of sentencing information.
  • Processes all disciplinary tickets received in the Record Office including entering program restrictions, segregation placement, and grade changes into Offender 360 (O360).
  • Inputs into the computer system various individual in custody movement data concerning court writs, deportation hearings, medical furloughs, transfers, work release, discharge, and electronic detention.
  • Keyboards complex charts, statistical reports, documents, and forms including legal, medical and/or psychological terminology where an understanding of specialized terms is required to ensure clarity and accuracy.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college, OR completion of high school AND two (2) years of related office experience, OR two (2) years of independent business experience.
  • Requires ability to keyboard accurately 30 words per minute.
Preferred Qualifications
  • Prefers at least two (2) years of experience with office practices and procedures.
  • Prefers at least two (2) years of experience using basic mathematics in computations in a work setting.
  • Prefers at least one (1) year of experience following oral or written instructions and applying them to assigned work.
  • Prefers at least one (1) year of experience using a data entry program such as Offender360, or similar program.
  • Prefers at least one (1) year of experience maintaining a paper filing system.
  • Prefers at least one (1) year of experience using common office equipment and performing routine maintenance.
Conditions of Employment
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
