Position Overview

IDOC is looking to hire an Office Assistant to assist in the daily processing of incoming and outgoing individual in custody and staff mail and operate common office equipment. In addition, this position will keyboard information related to mail room office processes and procedures, proofread documents and maintain permanent records for each individual in custody’s incoming mail concerning monies received. Essential Functions
  • Assists in the daily processing of incoming individuals in custody and staff mail according to U.S. Postal Service regulations and established procedures.
  • Operates common office equipment such as computers, scanners, copiers, postal machines, and letter openers.
  • Assists in the daily processing of outgoing individuals in custody and staff mail according to U.S. Postal Service regulations and established procedures.
  • Keyboards information relating to mail room office processes and procedures, and proofreads documents for clarity, punctuation, grammar and spelling.
  • Maintains permanent records for each individual in custody's incoming mail concerning monies received.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year of related office experience.
  • Requires the ability to keyboard 35 words per minute.
Conditions of Employment
  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
