Overview

The position manages and supports the administrative operations for the Substance Abuse Treatment Programs /Division of Services for Addiction and the Montefiore Einstein Psychiatry Associates Faculty Practice. Responsible for the integration and expansion of services and activities including planning, program development, human resources, facilities/project management, quality improvement and staff development. Builds and maintains relationships with various departments and clinical divisions. Advises and provides recommendations for improvements of service, compensation and staffing related issues. Analyzes internal processes and plans and implements procedural and policy changes to improve operations. Prepares and reviews operational reports and schedules to ensure accuracy and efficiency. Determines budgetary needs by analyzing short- and long-term program plans. Collaborates with senior leadership to develop and implement strategic plans for faculty and associate recruitment, operations and clinical and fiscal growth. Work with faculty to improve productivity, quality standards and research growth opportunities. Ensures compliance with federal, state, local and regulatory agency regulations, including accrediting agencies such as Joint Commission, OASAS and DOHMH. and facilitates and implements quality improvement initiatives to meet. Dedicated to ensuring high quality operations while adhering to Montefiore Medical Center's mission and vision.

Responsibilities
  • Manage and support day-to-day operations of the divisions of addiction treatment and faculty practice within the Department of Psychiatry and Behavioral Sciences. Monitor performance. Define and productivity, oversee expansion and unification of diverse programs, monitor customer service and manage staffing and onboarding of new attendings and associates.
  • Create and review divisional reports to assure quality, clinical and financial standards are met. Responsible for managing position control for the divisions. Create business plans to support provider growth.
  • Participation in the revision of outdated policies and procedures and support drafting of new divisional policies as needed. Develop and implement programs for clinical and quality improvement/performance for divisions as needed.
  • Responsible for all faculty/staff time maintenance and submission. Approve requests for time off, vacations and CME use ensuring adequate coverage is maintained at all times.
  • Manage the division's intranet and internet website. Continue to add resources, documents and contact information.
  • Actively facilitate the planning and designing for construction and renovation of departmental facilities, offices and conference rooms.
  • Liaison between the professional staff, administration, local leaders and senior leadership. Perform administrative support for Senior Director, Director and Medical Directors.
  • Create Human Resource documents for salary adjustments, internal transfers and terminations. Oversee payroll preparations and review for accuracy. Handle confidential issues, resolve payroll issues.
  • Oversee project management needs for growth and expansion of divisions. Set and follow up on necessary deadlines and deliverables. Ensure program leaders and other Montefiore areas are meeting expected timelines. Coordinate integration and enhancement of policies, clinical documentation and workflows to support expansion
Requirements
  • Master’s Degree Health Administration, Business Administration, Social Work, MentalHealth Counseling or related field required.
  • Expertise in the assessment and treatment of substance use disorders.
  • At least 1-3 years of experience in a related field required.
  • Must possess strong project management skills and have experience overseeing expansion projects.
  • Knowledge of state regulations regarding outpatient and inpatient mental health settings preferred.
  • Working knowledge of clinic and hospital functions including compliance with documentation and billing regulations required.
  • Must be able to clearly present, carry out and manage department goals in the face of competing priorities.
  • Must possess sophisticated interpersonal, communication and leadership skills and demonstrate the capacity to work well in a collaborative team environment.
  • Must be highly organized and be able to work independently. Must possess excellent decision-making skills, and an ability to manage multiple projects.
  • Must possess the ability to communicate orally and in writing.
