Responsibilities

  • Restocks medical trays, totes, and carts to support clinical functions.
  • Maintains standardization and documents inventory; removes outdated items.
  • Contacts departments to fill requests and answer supply questions.
  • Uses inventory computer system to maintain par levels and counts.
  • Initiates vendor orders for patient rental equipment and handles billing documentation.
  • Sorts and distributes mail; maintains bulk and certified mail records.
  • Labels patient items to assist with charges and reimbursement.

Summary

GENERAL SUMMARY: The Distribution Specialist provides comprehensive inventory support including linens, medical and housekeeping supplies, and patient equipment to all assigned areas. Sorts, distributes and prepares mail. Orders patient-specific rental equipment and enters patient charges.

Principal Job Functions
  • *Commits to the mission, vision, beliefs and consistently demonstrates our core values.
  • *Conducts inventory, obtains and delivers linen, medical forms and housekeeping supplies to patient floors.
  • *Monitors stock rotation, organization, and expiration dates of floor inventory toinsurestandardization and compliance with Federal and State regulatory agencies.
  • Adjustsinventory supply levels to meet customers’ needs and coordinates/communicates changes with supervisory personnel.
  • *Restocks various medical trays, caddies, totes and carts to support clinical functions in patient areas.
  • *Maintains standardization of supplies, documentation of inventory, removes outdates, conducts equipment testing and stocks crash carts to ensure availability of supplies and equipment to clinical staff.
  • *Communicates with all departments via telephone to fill requests and answer supply and distribution questions.
  • *Utilizes inventory computer system to maintain accurate par level profiles and inventory counts; resolves inventory discrepancies.
  • *Initiates vendor orders for patient rental equipment; coordinates delivery/pickup and documentation toinsureproper billing.
  • *Sorts, prepares and distributes incoming/outgoing and inter-departmental mail.
  • Maintains documentation for bulk, certified and related Medical Center mail.
  • *Labels patient items to assist clinical staff in identifying charges for reimbursement purposes.
  • Collects soiled equipment and delivers to Sterile Processing.
  • *Collects, validates and inputs patient charges to Medical Center database for billing purposes.
  • Routinely accesses locked storage areas (where drugs, IV solutions and contrast media are also stored) to obtain or stock supplies as pertinent to essential job functions in accordance with Medical Center procedures.
  • Provides assistancewith employee orientation and training as requested by Distribution Supervisor.
  • Performs other related projects and duties as assigned.

Required Knowledge, Skills and Abilities
  • Knowledge of general inventory principles, processes and procedures.
  • Knowledge of computer hardware equipment and software applications relevant to work functions.
  • Skill in the use of computer handhelds, wireless technology and standard communication devices.
  • Ability to prioritize work demands and work with minimal supervision.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to practice proper body mechanics to ensure personal and customer/patient safety.
  • Ability to establish and maintain effective working relationships with all levels of personnel, medical staff, volunteer and ancillary departments.
  • Ability to safely operate all distribution equipment according to directions and departmental policy.
  • Ability to perform mathematical calculation to adjust inventory levels appropriately.
  • Ability to maintain regular and punctual attendance.
Education and Experience

High school diploma or equivalency required. Previous inventory experience preferred.
