Job summary

Beacon Health System in Indiana is seeking an Inventory Associate to replenish, distribute, and assemble medical supplies for internal customers. You will work with PAR areas and Omnicell, maintaining stock levels and ensuring timely replenishment.

Weekend and holiday rotation may be required. Candidates should have a high school diploma (or equivalent) and some distribution experience; ability to lift up to 40 pounds and use handheld scanners is expected.

  • Six months of distribution or sterile processing experience preferred.

Responsibilities

  • Replenishes, distributes and assembles medical supplies accurately.

Reports to the Materials Manager. Working directly with the Inventory Control Coordinators, the Inventory Associate replenishes, distributes, and assembles medical supplies according to departmental policies and procedures. Provides exceptional customer service when delivering supplies and maintains adequate supply levels for internal customers. Must be able to work weekends and holiday rotation as assigned.

Replenishes, distributes and assembles medical supplies and stock items in an accurate and timely manner by:
  • Checking and verifying receipt of non-stock supplies ordered for PAR areas and Omnicell Supply cabinets.
  • Transporting stock to the appropriate location(s) as the net result of People Soft replenishment PAR scans and Omnicell generated re-stock lists.
  • Completing all stock requisitions.
  • Pulling the required stock to fill requisitions.
  • Maintaining a basic working knowledge of 2600+ supplies throughout Inventory Business Unit.
  • Maintaining a basic working knowledge of instrumentation in order to replenish in a timely fashion.
  • Channeling problems and/or complaints to appropriate person for resolution, once you have exhausted all options to resolve yourself.
  • Reporting to Inventory Control Coordinator any discrepancies in on hand inventory counts.
  • Providing input and assistance with the implementation of quality improvements.
  • Maintaining and presenting a positive customer service image at all times.
  • Must have the ability to pay attention to detail. Accurately count/scan supplies in PAR areas to replenish needed supplies.
  • Resolving problems.
  • Assisting with the annual physical inventory.
  • Answering and responding to telephone calls from the customer.
Maintains an adequate level of supplies to meet the anticipated needs of internal customers by:
  • Identifying unit of measure.
  • Accurately shelving return stock as needed.
  • Retrieving of stock/supplies from overstock carts, as well as supplies from SPD as needed.
  • Rotating stock according to FIFO inventory best practices.
  • Checking for outdates according to department policy and procedure (i.e. IBU; PAR areas; Crash Carts; RT totes; etc.).
Documents And Reports Errors With Stock By
  • Reporting inventory discrepancies in a timely manner.
  • Listing problem on inventory document and reporting to Coordinator (incorrect shipments, special order items not-received, etc.)
Updates and utilizes People Soft inventory system to obtain necessary information and to maintain accurate records by:
  • Locating proper inventory number(s), stock bin locations, quantity of stock available and on order.
  • Communicate with the Inventory Control Coordinators the need to update PAR levels and generate new labels.
  • Utilizing handheld apparatus for scanning and other inventory purposes.
Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
  • Completing other job-related duties and projects as assigned (i.e. cleaning of isolation carts; exchanging Crash Carts and RT totes, daily put away of bulk inventory, etc.).
Organizational Responsibilities
Associate complies with the following organizational requirements:
  • Attends and participates in department meetings and is accountable for all information shared.
  • Completes mandatory education, annual competencies and department specific education within established timeframes.
  • Completes annual employee health requirements within established timeframes.
  • Maintains license/certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.
Education And Experience
  • The knowledge, skills and abilities as indicated below are acquired through the successful completion of a high school diploma or equivalent is preferred. Must be a minimum of 17 years of age. A minimum of six months of experience in all facets of distribution or sterile processing is preferred.
Knowledge & Skills
  • Requires working knowledge of inventory systems, inventory control practices and stock distribution fundamentals.
  • Demonstrates basic computer skills necessary to utilize the Hospital's inventory system.
  • Demonstrates interpersonal skills necessary to consistently interact with families, visitors, and team members in a courteous manner and to maintain positive working relationships.
  • Demonstrates verbal, written communication, and problem-solving skills necessary to complete forms and take messages in a legible, accurate manner.
Working Conditions
  • Works in a distribution area with potential exposure to physical, chemical, and biohazards.
Physical Demands
  • Requires physical ability and stamina (i.e., bending; twisting; kneeling; squatting; ability to lift up to 40 pounds; push carts; to remain on feet for extended periods of time) to perform the essential functions of the position.
