Job summary

Catalent’s Kansas City facility is seeking a Distribution Coordinator to join the team supporting clinical supply distribution across a diverse portfolio. You will coordinate shipments, process orders, audit folders, and maintain documentation in compliance with GxP and regulatory standards.

Responsibilities

  • Coordinate and dispatch shipments of clinical trial materials.
  • Process orders and assemble folders generated on-site and offshore.
  • Audit folders for accuracy against customer requests and source documentation.
  • Support same-day, 24-, 48-hour, bulk, sample, and JIT order requests.
  • Verify billing codes for accuracy and resolve distribution issues.
  • Collaborate with Distribution Project Coordinators to resolve issues.
  • Enter data to track downtime codes and ensure study drug shipments comply with SOPs.
  • Maintain distribution documentation in line with GxP standards.
  • Coordinate with Import/Export for international order processing.
  • Generate shipment documents for requested Clinical Trial Materials.
  • Support investigations and resolve customer issues related to distribution.

Catalent’s Kansas City facility is home to our Oral & Specialty Drug Delivery, Biologics Analytical Services and Clinical Supply Services businesses.

Position Summary

We have an opportunity for a Distribution Coordinator to join our team supporting clinical supply distribution across a diverse customer portfolio. This role ensures all work is performed in compliance with regulatory requirements, good manufacturing practices, and standard operating procedures. The position involves coordinating shipments, processing orders, and maintaining accuracy in documentation. It’s a great opportunity to contribute to a team dedicated to quality and operational excellence. Shift: M-F 9:30am-6pm. Location: Kansas City, MO. 100% Onsite.

The Role
  • Coordinate and dispatch shipments of clinical trial material to clinical sites.
  • Process orders and assemble folders generated both on-site and offshore.
  • Audit folders for accuracy against customer requests and source documentation.
  • Support same day, 24-hour, 48-hour, bulk, sample, and Just-in-Time order requests.
  • Ensure 95% completion of work to floor the day before and meet shift processing expectations.
  • Verify billing codes for accuracy.
  • Identify and resolve distribution issues related to operations, systems, processes, or technology.
  • Collaborate with Distribution Project Coordinators to support issue resolution.
  • Enter Right First-Time data entries to track and trend downtime codes.
  • Understand customer expectations to ensure execution aligns with agreed scope of services.
  • Maintain the distribution group mailbox and documentation in compliance with GxP standards.
  • Support the distribution execution group to resolve operational and documentation issues.
  • Work with Quality, IT, Inventory, and other Supply Chain functions to resolve distribution issues.
  • Coordinate with Import/Export and Distribution Project Coordinators for international order processing and documentation.
  • Use source documentation such as Distribution Summary and Distribution Master Checklist per Catalent Standards.
  • Ensure study drug shipments comply with all applicable SOPs and customer‑approved protocols.
  • Acknowledge shipment dispatch in IVRS when required.
  • Generate shipment documents for requested Clinical Trial Materials.
  • Support investigations and resolve customer issues related to distribution.
  • Perform other duties as assigned.
The Candidate
Minimum Requirements
  • High School diploma required with a minimum of 2+ years of relevant industry or comparable experience.
  • Experience with Enterprise Resource Planning systems (JD Edwards preferred).
  • Strong project management and customer service skills.
  • High attention to detail while managing multiple priorities under tight deadlines.
  • Strong computer skills, including Microsoft Office and ability to learn new systems quickly.
  • Ability to read, write, and speak clear English.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to coordinate and communicate effectively across internal and external teams.
  • Ability to interpret written, oral, diagram, or schedule instructions.
  • Strong mathematical and reasoning ability.
Preferred Skills & Background
  • Associate’s degree preferred.
  • Experience in distribution and cold-chain operations preferred.
  • Knowledge and experience in current Good Manufacturing Practices (cGMP) and Food and Drug Administration (FDA) regulations preferred.
  • Knowledge of exporting clinical trial materials preferred.
