Qualifications

  • Bachelor’s degree in Business, Information Technology, Finance, or related field.
  • 10+ years of experience in vendor management, IT sourcing, or related work.
  • 5+ years of experience leading teams, vendor programs, or cross-functional work.
  • Experience managing large, complex vendor relationships and $50M+ annual spend.
  • Healthcare or regulated industry experience preferred.
  • Experience using ServiceNow or similar tools for vendor performance reporting.

Responsibilities

  • Lead the Vendor Management Office, including team priorities and governance.
  • Set and maintain standard processes for vendor onboarding, performance, and renewals.
  • Run regular vendor business reviews, escalations, and planning sessions.
  • Oversee large IT managed services contracts including SLAs and KPIs.
  • Partner on contract negotiations, cost questions, and cross-functional alignment.
  • Manage vendor financials: billing validation, forecasting, budgeting, and cost optimization.
  • Improve vendor service reliability and simplify vendor processes.
  • Maintain vendor scorecards and reporting on performance and risks.
  • Serve as escalation point for major vendor issues requiring leadership.
  • Collaborate with IT, clinical, and operational leaders to ensure vendor support.
  • Build and lead a VMO/FinOps team with clear accountability.

Job Summary

The Director of the Vendor Management Office manages key IT vendor relationships for Baylor Scott & White Health, including managed services partners. This role owns vendor performance, contract follow-through, service delivery, issue escalation, and financial oversight for approximately $100M in annual vendor spend.

The person in this role works with IT leaders, clinical and operational teams, Legal, Procurement, Finance, and vendor account teams to keep vendor work on track, resolve service issues, manage cost and scope changes, and make sure vendor commitments are met.

Essential Functions Of The Role
  • Lead the Vendor Management Office, including team priorities, operating routines, vendor governance, and support for IT vendor issues that need VMO involvement.
  • Set and maintain the standard process for bringing vendors in, tracking performance, managing contract obligations, and preparing for renewals or changes.
  • Run regular vendor business reviews, performance check-ins, escalation meetings, and planning sessions with leaders and vendor partners.
  • Oversee large IT managed services agreements, including SLAs, KPIs, renewals, amendments, and contract compliance.
  • Partner with Legal, Procurement, Finance, and business leaders on contract negotiations, scope changes, cost questions, and vendor commitments that need cross-functional alignment.
  • Manage vendor financials, including billing validation, forecasting, budgeting, cost review, and opportunities to reduce unnecessary spend or get more value from existing contracts.
  • Identify opportunities to improve vendor service reliability and simplify vendor processes.
  • Maintain vendor scorecards and performance reporting, including service levels, key performance measures, trends, risks, follow-up items, and escalations when commitments are missed.
  • Be a point of escalation for major service disruptions or vendor issues that require leader attention.
  • Partner with operational and technical teams to identify and reduce vendor-related risks, including cybersecurity, compliance, financial, and service delivery risks.
  • Help leaders understand vendor performance, cost, service quality, and contract concerns so issues are addressed with the right vendor or internal team.
  • Work with IT, clinical, and operational leaders to understand upcoming work and confirm vendor support is in place when it is needed.
  • Build, coach, and lead a VMO/FinOps team with clear roles, accountability, and expectations.
Key Success Factors
  • Bachelor’s degree in Business, Information Technology, Finance, or a related field.
  • 10 or more years of experience in vendor management, IT sourcing, IT operations, managed services, or related work.
  • 5 or more years of experience leading teams, vendor programs, or cross-functional work.
  • Experience managing large or complex vendor relationships, including managed services providers or outsourced service teams.
  • Experience managing vendor spend of $50M+ annually.
  • Working knowledge of service levels, performance measures, vendor scorecards, contract terms, renewals, amendments, and vendor governance.
  • Experience in healthcare or other regulated industries preferred.
  • Experience using ServiceNow or other tools to manage vendor performance reporting, analytics, follow-up items, or related operational tracking.
  • Strong financial judgment, communication skills, negotiation skills, and ability to work through complex vendor or service issues.
