Job summary

The CORE Institute in Phoenix, AZ is seeking a Scheduling Operations Manager to oversee day-to-day scheduling team activities, optimize resource use, and ensure high-quality patient flow in a busy clinic.

You will review timesheets and PTO requests, generate management reports, lead performance reviews, mentor staff, conduct audits, and enforce HIPAA and payer requirements. This role partners with departments to ensure accurate patient registration and smooth revenue cycle processes.

Qualifications

• Minimum five years of experience in a supervisory or leadership role within healthcare operations.
• Strong organizational and customer service skills with proficiency in computers and data entry.
• Knowledge of medical clinic operations, HIPAA privacy rules, and payer processes.

Responsibilities

• Manage the day-to-day operations of the scheduling teams to optimize performance and resource use.
• Review and approve timesheets and PTO requests; generate regular reports on staff adherence.
• Lead performance management, coaching, and improvement plans for the scheduling staff.
• Monitor daily activity and adjust work assignments to maintain efficiency and quality.
• Collaborate with internal and external departments to ensure accurate patient registration and revenue cycle processing.
