HAUS is hiring our first Director of Operations to run the systems, people operations, finance, and internal infrastructure that let a 40-person creative services agency scale without losing what makes it special. You'll report directly to the CEO and sit on the agency's leadership team alongside our VPs of PR, Creative, Marketing, and Studio.
This role was designed for an experienced operator who knows what a well-run professional services firm looks like from the inside and takes pride in building operations that other people love working within. You're a systems thinker who still sweats the details. You can design a mission critical workflow from scratch, but you’re not above entering a timesheet. You can push back on the CEO when the right answer is no, and do it in a way that strengthens the working relationship.
You'll own the operating system that lets HAUS grow: the people, finance, tools, cadence, and standards that keep the agency legible to itself. You'll partner with agency leadership on strategic decisions about how we grow, and you'll be one of a handful of people trusted to run the firm day to day.
RUNNING AGENCY OPERATIONS
- Own HAUS's internal operating system (i.e., the tools, systems, standards, and documentation) that let a growing agency work as one team
- Oversee our tooling and IT infrastructure, including the daily software stack, device management, and access provisioning
- Build and maintain the Knowledge Base and SOP library so the processes we repeat work consistently well
- Lead cross-functional improvements to how we scope projects, assemble proposals, close out work, and hand off between departments
- Keep our vendor and contractor relationships organized and current
- Set and maintain our data security and client confidentiality standards, and make sure the firm actually works to them
SUPPORTING FINANCE & LEGAL
- Serve as HAUS's primary liaison with our outside accounting partner on books, invoicing, close, and reporting
- Own the firm's core finance operations (i.e., accounts receivable and accounts payable)
- Draft and manage our standard vendor and client contracts (MSAs, SOWs)
- Keep legal counsel briefed on the pipeline so complex deals aren't handled reactively
- Own the contracts tracker and coordinate client-side compliance paperwork
PARTNERING WITH LEADERSHIP
- Prepare materials and own the follow-through for leadership and department meetings
- Build and maintain the dashboards leadership runs on: pipeline, utilization, hiring, account value, and department P&L
- Lead the quarterly financial review alongside the CEO
- Help the CEO move the right information through the firm so decisions don't wait on coordination
- Partner with the CEO on proposal development by producing first drafts and getting proposals out the door at the pace sales demands
- Represent HAUS externally on routine operational and vendor relationships
IMPROVING HOW WE WORK
- Continuously improve how HAUS operates: identify friction, propose solutions, and implement changes that compound over time
- Find and build opportunities to bring AI into our internal workflows — faster research, better documentation, automated reporting, smarter handoffs between people and systems
- Partner with department leaders to apply AI inside the work our teams deliver for clients, where it meaningfully improves quality or speed
- Pilot new tools and ways of working, measure what works, and retire what doesn't
- Build the muscle inside HAUS to keep adopting new ways of working as the landscape keeps shifting
Requirements
- 6+ years of operations, chief-of-staff, or similar experience, including time at an agency, consultancy, or other professional services firm between 25 and 150 people
- Direct experience owning finance operations alongside an external accounting partner: AR, AP, invoicing, cashflow, close
- Working knowledge of people operations such as payroll (ideally Justworks), benefits administration, and performance review mechanics
- Exceptional short-form writing: the Slack message, the policy memo, the vendor email, the Monday leadership readout
- Comfort with ambiguity, a founder who moves fast, and a bootstrapped environment that trades elegance for speed when it has to
- A track record of running tight meetings, closing loops, and delivering what you said you'd deliver when you said you'd deliver it
- Strong proficiency with our tech stack stack, particularly: Ramp, Microsoft 365, Slack, Google Workspace, and Clickup
Preferences
- Prior Head of Operations, Director of Operations, or senior Chief of Staff experience at a 30–100-person services firm
- Experience scaling teams at a rapidly growing agency
- Finance or accounting background (CPA, finance ops, or a stint running the books before scaling)
- Hands-on familiarity with AI tooling and a track record of using it to improve how teams work
- Experience in deep tech, defense, aerospace, biotech, or another technically demanding client environment
- Experience building the operations function from one person into a small team
