Director of First Impressions - Receptionist

Position Location: TRU-White Pine facility.

Role Summary:

The Director of First Impressions (DOFI) is the primary contact point for visitors, appointments, deliveries, and inbound calls. This role involves administrative duties that contribute to organizational efficiency, including managing front door interactions, supporting office administration, and assisting various departments with specific tasks such as preparing data plates, certificates, and managing payments.

Key Responsibilities:
  • Answer multi-line phones and greet visitors professionally
  • Assist managers with projects and administrative tasks
  • Support the application and interview process for applicants
  • Perform general office duties: filing, copying, printing, and mailing
  • Prepare and manage documents like Data Plates, Certificates of Origin, and House Packs
  • Handle House Payments and AR details
  • Manage reports and participate in quarterly inventory
  • Coordinate guest visits and appointments, maintain the coffee area
  • Support HR processes as needed
Qualifications and Skills:
  • Strong organizational and prioritization skills
  • Excellent communication skills with all organizational levels
  • Proficiency in MS Office, especially Excel; knowledge of AS400 and Infinium preferred
  • Attention to detail and ability to meet deadlines
  • Ability to work independently
