The Ayer Shirley Regional School District Central Office is seeking a Director of Facilities to oversee all aspects of school facilities and grounds in Ayer, MA. You will lead custodial and grounds staff, manage budgets, and coordinate maintenance, repairs, and capital projects to support the district's operations.

Qualifications

  • Bachelor’s degree preferred with 8–10 years of relevant experience.
  • Hands-on maintenance and troubleshooting for facility systems.
  • Experience with facilities automation technologies (HVAC, video, security).
  • Knowledge of AHERA and related safety standards.
  • Knowledge of IPM plans for schools.
  • Understanding of fire protection and alarm systems.
  • Contract management for outside services and vendors.
  • Experience with energy management programs and funding opportunities.
  • Knowledge of quality maintenance and regulatory compliance.
  • Locksmithing/kay management experience a plus.
  • Knowledge of electrical, lighting, HVAC, plumbing and other building systems.
  • Licenses/certifications in relevant areas preferred.
  • 5+ years leading operations or maintenance teams.
  • Custodial services knowledge.
  • Ability to manage project plans using PM methodology.
  • Vendor/contractor management and response coordination.
  • Experience with building automation systems and IT tools.
  • Strong leadership and organizational skills.

Responsibilities

  • Works with the Administrative team to plan, budget and communicate maintenance activities, critical issues and preventive maintenance plans for buildings, facilities and mechanical systems.
  • Responsible for preparing and managing custodial, building maintenance and capital project budgets
  • Develops and carries out short term and long term operating and budget plans for building maintenance and upkeep.
  • Participate in the formulation of School District policies with regard to the use and maintenance of buildings, facilities and mechanical systems,
  • Directly assist the Superintendent and/or Finance Director in a confidential capacity. This will include confidential involvement in collective bargaining strategy with respect to custodial and maintenance staff; as well as confidential involvement in personnel matters involving such staff.
  • Supervises and evaluates custodial and grounds staff. This includes:
  • Works with building principals to develop work assignments and building maintenance needs;
  • Plans, assigns schedules and oversees all custodial maintenance and repair work, maintaining a high standard of safety, cleanliness and efficiency;
  • Assigns overtime according to applicable collective bargaining agreements and state and federal law;
  • Schedules substitutes and vacation/sick time coverage;
  • Monitors and approves time records of custodians for salary payments;
  • Completing performance evaluations on a regular basis, and also managing the discipline process.
  • Responsible for ensuring security and safety systems/procedures are intact, operational and followed.
  • Maintains an inventory and recommends purchase of suitable supplies, tools and equipment.
  • Inspects each building on a regular basis and confers with Principals and Director of Finance regarding custodial work and maintenance
  • Oversees the use of building facilities during non-school hours by school-related and non-school related organizations.
  • Assists and makes recommendations to the Superintendent on matters of building repair, renovation, upgrades and other major building and facilities projects
  • Maintenance includes hands‑on routine and troubleshooting work on roof‑top units (most with cooling, some with energy recovery), exhaust fans, boilers, pumps, and a variety of other systems and equipment.
  • Management of major maintenance and repair will be done by service contractors under the responsibility of this position.
  • Available for emergency situations – evenings, weekends and holidays
  • Manages all facilities related documentation, scans and indexes all appropriate documents.
  • Participates with planning and implementing school security activity.
  • Advocates for and documents facilities master planning and short range improvements.
  • Maintains excellent relationships with various Town Employees such as Fire and Police Department, Building Inspectors, etc.

Job Description

Oversees and coordinates all aspects of school facilities and grounds, maintaining conditions that support school and community use of the school physical plant. Provides leadership, support, and supervision to custodial and grounds staff, encouraging teamwork, ensuring equitable and appropriate work assignments, and providing adequate and timely supplies, materials, equipment, and training. Maximizes the use of district personnel and resources by identifying maintenance, repair, and improvement projects that can be safely and effectively completed in-house. Obtains competitive pricing and seeks the best value for repairs, supplies, materials, equipment, contracted services, and other outside work, while considering cost, quality, reliability, and the long term needs of the District. Coordinates and oversees outside contractors when work requires specialized expertise, licensing, equipment, or additional capacity.

Job Requirements
  • Holds a relevant bachelor’s degree (preferred) along with 8-10 years of relevant experiences.
  • Can perform significant hands‑on maintenance and troubleshooting and repair activity for all the various systems and equipment typically found in a facility.
  • Has specific experiences and knowledge of full‑spectrum facilities automation technology (HVAC, Video, Security, etc.).
  • Knowledge of AHERA (Asbestos Hazard Emergency Response Act).
  • Knowledge of indoor and outdoor IPM plans for schools (Integrated Pest Management)
  • Understanding of Fire protection systems and Fire alarm panels with addressable devices
  • Can develop, solicit and manage outside service, repair and construction contracts including the verification of their proper work.
  • Capable of performing an energy management function. Familiar with availability of various programs, technical support and funding opportunities.
  • Understands concepts of quality maintenance and compliance with applicable codes and regulations.
  • Locksmithing & Key management systems experience is a plus
  • Demonstrated knowledge of electrical, lighting, heating/ventilation, plumbing and all other mechanical systems found in schools.
  • Holder of licenses(s) certifying technical competence in relevant areas preferred.
  • At least five years experience in line operations or production. Experience working as a foreman, project manager and/or team leader preferred, plus the ability to communicate effectively orally and in writing with diverse groups such as employees, contractors and the public.
  • Demonstrated knowledge of providing custodial services.
  • Ability to develop and follow project plans that include the essential components of project management methodology.
  • Ability to work with and manage vendors and contractors to ensure appropriate level of service is provided including but not limited to the timely response to needed repair, replacement and/or installation of new systems.
  • Ability to manage automated, technology-based building operating systems and use a computer for e‑mail, spreadsheets and document generation/management.
  • Possesses a range of management and leadership skills, including, but not limited to: organization, action orientation, sound judgment, positive attitude, financial aptitude and performance evaluation.
