Director of Administration & Finance
Position Summary: The Director of Administration & Finance will lead four key areas: IT, Finance, Human Resources, and Administration and will oversee the PQI Specialist, Office Manager, and Senior Manager of Finance. This individual will play a vital role in ensuring that these functions align with the organization’s mission, values, and strategic goals. This role will provide leadership to ensure operational efficiency, financial integrity, compliance, and the seamless execution of administrative functions. This role will be highly involved in the strategic planning aspect of the organization, as well as performing and ensuring the completion of day-to-day tasks within the role. This role will also work to ensure the effective implementation of performance quality improvement initiatives, compliance with standards, and continuous process enhancements.

Job Responsibilities:
- Supports the COO and leadership in the implementation of strategic planning initiatives.
- Oversees all aspects of finance and accounting to include budgeting, financial analysis and reporting, and compliance.
- Oversees compliance with non-profit accounting standards, financial regulations, and funding requirements as stipulated in Chosen contracts.
- Develops and implements operational policies and procedures to enhance operational efficiency.
- Coordinates with Senior Manager of Finance to ensure timely completion of monthly, quarterly, and annual financial statements and reports.
- Provides financial recommendations to CEO, COO, and the board to ensure financial health, responsibility, and effectiveness.
- Oversees the Human Resources functions, to include recruitment, onboarding, employee relations, benefits negotiation/administration, and performance management.
- Oversees and approves bi-weekly payroll for employees and contractors.
- Ensures Human Resources policies and practices align with the organizational values of Chosen, as well as adhere to legal requirements.
- Oversees compliance in staff training to include HIPAA/PHI training, Cybersecurity, and other required training.
- Oversees the completion of contract billing for Programs to ensure timely and accurate payment from contracted agencies.
- Oversees IT vendor relationships and ensures smooth execution of services and timely resolution of IT issues.
- Ensures IT systems, infrastructure, and security are fully operational in alignment with business objectives.
- Oversees daily administrative operations, to include document management, inventory management of office supplies, and equipment.
- Ensure Chosen maintains all necessary insurance policies, including compliance and renewals to mitigate risks and safeguard business operations.
- Acts as a liaison with external vendors, contractors, and stakeholders.
- Maintains and oversees all contracted relationships with outside vendors.
- Ensure state registrations are up to date where Chosen does business.
- Maintain and update as needed policies and procedures support for COA for finance/governance/HR and risk prevention and management.
Education & Experience:
- Bachelors degree in Business Administration, Non-profit management, finance, or related field.
- Minimum of 5 years of experience in operations management, preferably with non-profit sector, with a focus on IT, finance, HR, or administration.
- Minimum 3 years in leadership or director level position.
- Working knowledge of Entrepreneurial Operating System (EOS) as defined by the book Traction by Gino Wickman strongly preferred.
- Proficiency in various platforms to include Microsoft Teams, Zoom, Salesforce, Sharepoint, Asana preferred.
- Instrumental in reaccreditation requirements and process through Council on Accreditation.
