Job summary

The Cardiovascular Research Foundation seeks an organized Associate Manager, Digital Strategy & Operations to support digital projects and strengthen CRF Digital’s operating infrastructure. The role is a dual-focus position with ~60% strategy & operations and ~40% project management.

Reporting to the Director, Digital Strategy & Experience, this role connects stakeholders, manages timelines, improves communication, and ensures digital workstreams progress with clarity and accountability.

Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant work experience.
  • 4+ years of experience in project management, project coordination, digital operations, business operations, marketing operations, or a related role; nonprofit, healthcare, medical education, publishing, events, or digital product experience is a plus.
  • Demonstrated ability to manage multiple workstreams, timelines, stakeholders, and shifting priorities with a strong sense of ownership and follow-through.
  • Strong understanding of project management principles, including schedule management, milestone tracking, risk management, documentation, stakeholder communication, and change management.
  • Familiarity with project management methodologies and ways of working, including Agile, Scrum, Waterfall, and hybrid approaches.
  • Experience using Monday.com or similar work management platforms; ability to build, maintain, and improve boards, workflows, dashboards, and templates preferred.
  • Experience supporting digital products, websites, content management systems, online tools, mobile apps, or database-driven platforms preferred.
  • Strong operational judgment and the ability to improve systems, processes, documentation, and communication flow across a team or division.
  • Comfort supporting budget, invoice, purchase order, travel, scheduling, and administrative coordination with accuracy and discretion.
  • Excellent written and verbal communication skills, including the ability to prepare clear emails, meeting notes, status updates, summaries, reports, and stakeholder-facing materials.
  • Ability to interact effectively with team members, management, vendors, agency partners, executives, faculty, and industry professionals.
  • Strong attention to detail, organization, problem-solving, prioritization, and ability to work independently while keeping leadership informed.
  • Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint; comfort working across Mac and PC platforms.
  • Ability to read and interpret vendor contracts, CRF policies, project documentation, memos, and operational requirements.

Responsibilities

  • Support Strategy & Operations for CRF Digital, keeping priorities aligned and connected.
  • Assist with operational planning, recurring priorities, division-wide coordination, and leadership materials.
  • Support budget coordination by tracking expenses, estimates, purchase orders, invoices, forecasts, and budget docs.
  • Assist with travel and event logistics for CRF Digital needs and approvals.
  • Provide scheduling support for division priorities and meetings.
  • Identify opportunities to improve communication, collaboration systems, and workflows across CRF Digital.
  • Create and improve SOPs, process maps, templates, onboarding guides, project intake forms, knowledge resources, and internal docs.
  • Help manage communication channels (Teams, SharePoint, Monday.com, etc.) for Digital division work.
  • Support division reporting with project updates, metrics, status summaries, and dashboards.
  • Anticipate needs, flag gaps, and help establish smoother ways of working across departments, vendors, and stakeholders.
  • Manage project workflows from intake to launch (websites, tools, apps, event platforms).
  • Develop, maintain, and communicate project plans, timelines, milestones, dependencies, deliverables, and launch-readiness checklists.
  • Maintain Monday.com workspaces, dashboards, templates, automations, and milestone calendars.
  • Lead or facilitate weekly project review meetings with agendas, notes, action-tracking, and risk escalation.
  • Coordinate with internal teams and external vendors to align deliverables with business objectives.
  • Track progress, monitor risks, manage change requests, and adjust project phases as needed.
  • Coordinate QA, stakeholder feedback, approvals, accessibility review, deployment readiness, and post-production support.
  • Prepare concise status updates and decision-support materials for leadership.
  • Maintain project documentation and file organization in shared systems.
  • Additional duties as assigned.
