Job summary

Catalyst Mobility is seeking a Development Operations Coordinator to support the Business Development team. This role maintains the Development CRM, coordinates grant proposals, tracks deadlines, and conducts research to inform funding strategies.

The ideal candidate is highly organized and proactive, with experience using monday.com, Office 365, Salesforce, and CRM platforms, and an understanding that AI is a tool, not a team member.

Qualifications

  • Associate’s or Bachelor’s degree in Business, Communications, Public Administration, or related field.
  • 2+ years of administrative support experience.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and CRM or proposal management platforms.

Position Summary

The Development Operations Coordinator role on the Business Development team provides essential administrative and strategic support to the public and private revenue teams. This role is responsible for maintaining the Development CRM. This role ensures the smooth execution of proposal development processes, manages calendars and meetings, and conducts research to inform funding strategies. The ideal candidate is highly organized, detail-oriented, and proactive, with a strong interest in business development and fundraising operations who is adept at current technologies and project management tools such as monday.com, Office 365 Suite, Salesforce as examples and who understands that AI is a tool, not a team member.

Key Responsibilities
  • Proposal Support:
  • Assist in coordinating the development and submission of grant proposals and business development materials.
  • Track proposal requirements, deadlines, and deliverables across public funding sources.
  • Maintain organized records of proposal content, attachments, and submission history.
  • Complete and track necessary forms.

Administrative Coordination:

  • Manage calendars, schedule meetings, and coordinate logistics for internal and external engagements.
  • Prepare agendas, take meeting notes, and follow up on action items.

Research and Information Gathering:

  • Conduct background research on potential funders, partners, and industry trends.
  • Compile data and insights to support proposal narratives and strategic planning.
  • Monitor relevant funding announcements and opportunities and coordinate with internal staff to notify initiatives/activities about opportunities.

Team Collaboration:

  • Liaise with programs, finance, and communications teams to gather necessary materials for proposals.
  • Support cross-functional coordination to ensure timely and accurate submissions.
  • Assist with onboarding and training new team members or interns.
  • Maintain the CRM: ensure content is updated, pull reports, create dashboards, assist with tracking KPIs.
  • Other duties as assigned.
Qualifications
  • Associate’s or Bachelor’s degree in Business, Communications, Public Administration, or related field.
  • 2+ years of experience in administrative support, preferably in a fundraising or business development environment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and CRM or proposal management platforms.
Preferred Skills:
  • Familiarity with grant writing processes and public/private funding landscapes.
  • Experience using platforms like Responsive.io or similar tools.
  • CRM experience, especially Salesforce and NeonOne are a plus.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
