Job summary

Mass General Brigham is seeking a detail-oriented administrative assistant to support the Development Office’s events and donor communications. In a hybrid schedule, you will help coordinate fundraising events, maintain databases, prepare materials, and liaise with internal teams to ensure smooth operations.

Based at 399 Revolution Drive, you will contribute to a collaborative environment that supports patient care and research.

Qualifications

  • High school diploma or equivalent; 1-2 years in customer service or relationship-building role.
  • Bachelor's degree preferred but not required.
  • Strong verbal and written communication.
  • Proficient in Word, PowerPoint, Excel and Outlook.
  • Experience with videoconferencing platforms (Zoom/Teams).
  • Experience with data entry or database management (Blackbaud CRM or Raiser's Edge).

Responsibilities

  • Plan and execute events; staff on-site.
  • Record RSVPs, data, and action items in donor database.
  • Coordinate with internal teams for event logistics.
  • Prepare agendas and notes; follow-up actions.
  • Draft documents and respond to inquiries.
  • Handle constituent phone and email inquiries.
  • Submit expenses and vendor invoices.
  • Assist with daily administrative activities.

Essential Functions (Key Roles & Responsibilities)
  • Support the planning and successful execution of events, including on-site staffing.
  • Gather and record RSVPs, data, and action items in a donor database, ensuring thorough documentation of guest/participant activity and results
  • Coordinate with internal teams to support event logistics and communications.
  • Coordinate logistics, prepare agendas and other materials, take notes and organize follow-up actions for meetings, events, appointments and presentations, troubleshooting issues as needed
  • Write and/or edit documents, and interpret information necessary to draft responses as needed
  • Attend to constituent phone and email inquiries, as needed
  • Submit employee expenses and vendor invoices
  • Assist with daily administrative activities
Qualifications

High school diploma or equivalent required and 1-2 years of experience in a customer service or relationship‑building role. Bachelor's degree preferred but not required. In addition, the ideal candidate will possess the following skills, abilities and competencies:

  • Strong verbal and written communication skills
  • Organizational, time management, problem solving and project management skills
  • Command of Word, PowerPoint, Excel and Outlook, or the ability to learn them quickly
  • Competency using videoconferencing platforms (Zoom and Teams preferred)
  • Proficiency with data entry or data management in a database (Blackbaud CRM or Raiser's Edge preferred)
  • Attention to detail, creativity and strong work ethic
  • Desire and motivation to learn about the organization and fundraising
  • Awareness of personal work styles in self and others
  • Adaptability and flexibility in times of shifting priorities
  • Ability to work collaboratively with diverse audiences
