Job summary

Mass General Brigham is seeking an Events Coordinator to join the Development Office in a hybrid role. You will support the planning and execution of 100+ annual donor events, coordinate RSVPs and donor data, and assist across internal teams to ensure smooth on-site and virtual experiences.

The role requires 1–2 years in customer service or relationship building, strong communication, and proficiency with Office tools and donor databases.

Qualifications

  • High school diploma or equivalent required; Bachelor’s degree preferred but not required.
  • Strong verbal and written communication skills.
  • Organizational, time management, problem-solving and project management abilities.
  • Proficiency with Word, PowerPoint, Excel and Outlook; videoconferencing tools.
  • Experience with donor databases (Blackbaud CRM or Raiser's Edge) is a plus.
  • Attention to detail, creativity and teamwork; ability to learn quickly.

Responsibilities

  • Assist in planning and executing donor events, including on-site staffing.
  • Gather RSVPs, record data, and track action items in the donor database.
  • Coordinate with internal teams for event logistics and communications.
  • Prepare agendas, take notes, and manage follow-up actions for meetings.
  • Draft and edit documents as needed and respond to inquiries.
  • Process expenses and vendor invoices; support daily admin tasks.

The Coordinator contributes, in part, to the successful execution of 100+ annual events that unite and celebrate our vibrant donor community and raise $20M+ annually to support the mission of the Mass General Brigham Development Office.With appropriate guidance, the Coordinator handles several important administrative event team functions, including calendar management, preparations and follow-up for meetings and events, business expenses and travel arrangements, among others. The Coordinator handles data entry, including event RSVPs and registration information for a range of event activity. The Coordinator also assists in the planning and successful execution of events, including providing on-site support.Essential Functions (Key Roles & Responsibilities)•Support the planning and successful execution of events, including on-site staffing.•Gather and record RSVPs, data, and action items in a donor database, ensuring thorough documentation of guest/participant activity and results•Coordinate with internal teams to support event logistics and communications.•Coordinate logistics, prepare agendas and other materials, take notes and organize follow-up actions for meetings, events, appointments and presentations, troubleshooting issues as needed•Write and/or edit documents, and interpret information necessary to draft responses as needed•Attend to constituent phone and email inquiries, as needed•Submit employee expenses and vendor invoices•Assist with daily administrative activitiesQualificationsHigh school diploma or equivalent required and 1-2 years of experience in a customer service or relationship-building role. Bachelor’s degree preferred but not required.
