Job description

Minimum two years of nonprofit development work preferred

The Development Coordinator is an enthusiastic communicator who helps raise contributed income for CSMA to advance its mission. Key responsibilities include: 1) Recording donations, issuing timely and accurate gift receipt letters, and maintaining the donor database; 2) organizing and supporting all development events and campaigns, and 3) providing administrative support to the Executive Director with regard to scheduling and Board of Directors communications and meetings. Location: Mountain View, CA, USA

Primary Duties and Responsibilities

  • Manages the donor database, Donor Perfect. Ensures that donor acknowledgments are processed within 48 business hours from gift receipt. Generates detailed donation reports and gift analysis. Reconciles monthly with Finance.
  • Conducts prospect research and maintains key donor and grant files.
  • Works with the Director of Development to support donor development activities, develop donor cultivation strategies, and spearheads all donor mailings.
  • Works as a team member to plan, organize, and support all development events, including, but not limited to, the annual gala, donor appreciation events, and special concerts and gallery receptions.
  • Collaborates with the Marketing Department and the Director of Development to manage email campaigns via Constant Contact for the year-end campaign, gala, and all development events.
  • Manages the Eventbrite ticketing system and check-in process for Community Concerts.
  • Plans and manages internal and external meetings as requested, including ensuring all needs, such as meeting room, equipment, food, and materials, are met.
  • Provides administrative support for activities of the Board of Directors, including taking minutes at the monthly board meetings, calendaring, tracking committee meetings, and assisting the DoD and Executive Director in stewarding the Board of Directors.
  • Other special projects as assigned.

Skills/Qualifications

  • Excellent attention to detail.
  • Excellent verbal and written communication skills, including the ability to communicate effectively with donors, staff, board, and volunteers.
  • Strong time management, project management, and organizational skills.
  • Flexible, proactive, creative, problem-solving attitude.
  • High-level computer literacy skills. Experience with Google Workspace, Microsoft Office, and familiarity with a leading donor database (Raisers Edge or DonorPerfect preferred).
  • Enthusiasm for the performing arts and arts education.
  • Available to work events or meetings on days, evenings, and weekends as needed.

Education

  • Bachelor’s degree is preferred

Experience

  • Minimum two years of nonprofit development work, including donor database entry and reporting
  • Experience providing executive support in nonprofit organizations is preferred
  • Event planning experience preferred.

Physical Demands

  • Occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl.
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • Reliable transportation to travel to CSMA events and meetings that could be held in the evening and weekends
