Job summary

The Zoological Society of Milwaukee is seeking a Development Coordinator to join a friendly, professional team supporting the Milwaukee County Zoo. Under the Senior Development Director, this full-time role provides administrative and project support to help meet Development Department goals.

Responsibilities include coordinating meetings and events, maintaining donor records, budget tracking, invoicing, and assisting with sponsorship activities and reports.

Qualifications

  • High School Diploma and a minimum of four years related experience.
  • Proficient in Word, Excel, PowerPoint, Outlook, Adobe and Smartsheet.
  • Strong organizational and communication skills; attention to detail.

Job description

The Zoological Society of Milwaukee (ZSM) is seeking a Development Coordinator to join a fun and talented team of professionals in supporting one of the most cherished community assets – the Milwaukee County Zoo. Under the direction of the Senior Development Director, this position provides a wide range of administrative and project support to help facilitate the goals and objectives of the Development Department.

This is a full-time position eligible for a competitive benefits package, including health insurance, complimentary dental, vision, life, STD and LTD coverage, 401k with up to a 5% match, PTO, paid holidays, and a complimentary Zoo Pass, up to the Household level.

RESPONSIBILITIES
  • Provide a wide range of administrative and project support for the Development Department including scheduling of meetings (including logistics), preparing materials, correspondence and reports.
  • Coordinate and attend development stewardship and cultivation events, assisting with logistics, presentations and creative materials to support event goals.
  • Support the sponsorship manager and program by maintaining accurate tracking documentation and follow up, recording program activities and deliverables, coordinating sponsor logistics, and compiling materials into recap reports that summarize program outcomes and sponsor engagement.
  • Serve as the point person for tracking department creative projects, ensuring projects move through the creative process on schedule and meet department needs.
  • Conduct and prepare research materials for existing and prospective donors.
  • Update and correct database records and maintain accurate paper and electronic files for all donors.
  • Assist with budget tracking and processing department invoices, including data entry, verification of accuracy, and ensuring timely payment.
QUALIFICATIONS
  • High School Diploma and a minimum of four years related experience, preferably in a nonprofit environment or related field.
  • Strong computer skills including knowledge of Word, Excel, PowerPoint, Outlook, Adobe and Smartsheet.
  • Ability to operate standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Focus on attention to detail and accuracy, such as proofreading.
  • Exceptional organizational and communication skills.
  • Strong customer service skills.
  • Excellent time management skills and the ability to prioritize under pressure.
  • Ability to effectively handle a broad range of interpersonal contacts, including those confidential and sensitive in nature.
  • An understanding of database management and a willingness to learn the organization’s system (Tessitura).
  • Ability to be flexible and work as part of a team.
