Job description

Job Title: Development Coordinator

Reports To: Vice President, Strategy & Engagement

FLSA Status: Exempt

Work Hours: 9:00am – 5:30pm M-F; as needed on weekends and special events

Job Summary:

This role is responsible for a variety of bookkeeping functions for the Institute including but not limited to cash receipts, accounts payable, payroll, general ledger journal entries, financial reporting, bank reconciliations, etc. Responsible for various administrative functions, such as mailing, filing, acting as staff contact for the Finance Department, and assisting the Operations and Executive Team. Assists in providing documentation requested as a part of the annual audit.

Responsibilities:

  • Assists in creating and implementing annual fundraising plans with a range of activities including supporting the preparation and submission of grant proposals, corporate and individual requests, fundraising events, donor solicitation mailings, etc.
  • Responsible for membership program, promoting new members, encouraging renewals, and considering changes to benefits and member levels.
  • Maintains current records in the electronic database (Blackbaud), updates constituent information, generates reports, enters gifts, prepares gift acknowledgments and pledge payment letters, and other fundraising functions.
  • Assists in identifying and tracking donor prospects through suggestions from staff, past and current Board members, existing donors and colleagues, and by conducting research (e.g. Book of Lists, etc.)
  • Provides support for fundraising events, including coordinating planning activities, assisting with logistics, and ensuring successful event execution.
  • Track and compile grant reporting as required by funders for review and submission.
  • Maintains detailed records of contributions and commitments and assists in compiling fundraising metrics and donor engagement reports for internal tracking, board meetings, and grant reporting.
  • Provides support for donor cultivation and stewardship events, including preparation of materials, guest list management, and onsite logistics.
  • Reconciles records with Finance on monthly basis.

Minimum Qualifications:

  • Bachelor’s degree in a related field or relevant work experience that may substitute for education requirement.
  • Two years of relevant experience in an administrative capacity or office environment, preferably in nonprofit fundraising or events.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously and accurately in a detail-oriented environment.
  • A self-starter, comfortable working independently while working well in a collaborative environment, taking the initiative to be productive and inefficient.
  • Ability to work in a fast-paced environment and successfully manage competing deadlines.
  • Ability to handle confidential, sensitive information with the highest degree of professionalism.
  • Ability and willingness to travel and work flexible hours including evenings and weekends.
  • Proficiency in the Microsoft Office products suite (Excel, Outlook, PowerPoint, Word), or equivalent software.
  • Ability to exercise good judgment and demonstrate an understanding of the ethical principles associated with working in development.
  • Excellent interpersonal and leadership skills, along with the ability to work with diverse internal and external constituencies.

Physical Job Requirements:

While performing this job, the employee will be required to sit (80%), stand, and walk (20%) and may be required to lift up to 20 pounds occasionally. Will be required to do close work with a computer monitor and perform repetitive hand movements.
