Job description

Part‑Time 20h/wk $18.72k to $20.80k/year Business Casual Attire

Sandia Preparatory School is seeking a detail‑oriented and enthusiastic Part‑Time Development Coordinator to join our Alumni and Development team. This role primarily coordinates development and alumni events and supports fundraising and community engagement initiatives throughout the year. The ideal candidate thrives in a dynamic, mission‑centered environment, enjoys working with families, alumni, students, and community partners, and brings a consistently positive, can‑do attitude to a busy event calendar.

This is a part‑time, hourly position (approximately 20 hours per week). The position does not have a fixed daily schedule. Hours vary week to week based on the event calendar and preparation needs. Evening and weekend work is common, and attendance is required at all development and alumni events. Daytime hours are used for planning, coordination, and follow‑up.

Primary Responsibilities
Development and Alumni Event Coordination
  • Coordinate and support all aspects of development and alumni events, including planning, timelines, room setups, vendor bookings, and on‑site logistics.
  • Create and manage online event and fundraising pages, web forms that collect RSVPs, and guest lists, and support invitations, mailings, and basic event communications.
  • Prepare and manage event materials, including name‑tags, signage, programs, check‑in lists, and volunteer assignments, for student volunteers.
  • Provide on‑site event support with a welcoming, solutions‑oriented presence, including setup, check‑in, guest greeting, general staffing, and post‑event breakdown and organization.
  • Assist with simple post‑event follow‑up, such as thank‑you messages and recap notes.
Development Operations Support
  • Serve as backup for gift entry and acknowledgment processes in the school database during staff absences or peak times.
  • Assist with maintaining accurate donor and event records.
  • Support basic reporting, list pulls, and administrative tasks at the direction of the Development Director.
Qualifications
  • Strong organizational skills and attention to detail.
  • Clear, professional communication skills in person and in writing.
  • Event planning or event support experience preferred in a school, nonprofit, or corporate setting.
  • Comfort working a flexible schedule, including frequent evenings and weekends aligned to the event calendar.
  • Ability to manage multiple tasks and shift priorities with accuracy and a positive attitude.
  • Comfort using databases, spreadsheets, and other digital tools.
  • Experience with online forms, event platforms, or basic web‑based systems preferred.
  • Database experience preferred, including familiarity with data entry, reporting, and basic data management tasks.
  • Enthusiasm for independent school education and Sandia Prep’s mission.
