Job summary

Pensacola Habitat for Humanity Inc. is seeking a Development Associate to support fundraising and donor engagement across Escambia and Santa Rosa counties.

The role focuses on building donor relationships, maintaining accurate records, and supporting grant compliance while coordinating events and campaigns. The Development Associate reports to the Director of Donor Relations and collaborates with cross-department teams to advance organization goals.

Qualifications

  • Not-for-profit fundraising experience preferred.
  • Experience with donor databases/CRM Systems preferred.
  • Grant research and reporting experience preferred.

Responsibilities

  • Works 40 hours per week with a flexible schedule for meetings and events.
  • Manages donor database and CRM, entering gifts and acknowledgments.
  • Maintains compliance materials and tracking systems for reporting needs.
  • Coordinates meeting logistics, drafts agendas, records minutes.
  • Collaborates across departments on donor campaigns and projects.
  • Supports process improvement and development SOPs.
  • Represents the organization at community events and with partners.
  • Cultivates and sustains donor relationships and engages community groups.
  • Assists with grant development and tracks compliance deadlines.

Pay Range: $20 - $25 p/hr. ($41,600 to $52,000 annualized) plus a full-benefit package

Schedule: Monday - Friday; 8AM - 4PM with the flexibility for after hour and weekends as needed

GENERAL DESCRIPTION:

The Development Associate supports the fundraising and donor engagement efforts of Pensacola Habitat for Humanity across Escambia and Santa Rosa counties, working to build long-term relationships and outcomes that advance the organization's mission. This role helps plan, execute, and report on Board approved programs and fundraising campaigns under Resource Development, and plays a key part in maintaining accurate donor records and compliance documentation. The Development Associate is responsible for cultivating and retaining donor relationships, representing Pensacola Habitat for Humanity at community events and among key community groups, and supporting the administrative and reporting needs of the Development team, including grant compliance tracking and project coordination. This position reports to the Director of Donor Relations and works closely with committees and staff across departments where development opportunities exist. The qualified candidate must bring strong attention to detail, sound judgment, and a high standard of ethical and professional conduct to this work.

CORE RESPONSIBILITIES:
  • Works 40 hours each week, with a flexible schedule to accommodate meetings and events as needed.
  • Manages the donor database and CRM system, including entry of gifts, contacts, and prospective contacts, ensuring timely recording, acknowledgements, and thank you notes for all donations and in-kind gifts.
  • Maintains compliance materials and tracking systems, including environmental review documentation, ensuring accurate and up to date information for reporting needs.
  • Coordinates and administrates meeting logistics, including drafting agendas, recording minutes, and coordinating administrative and project support needs.
  • Collaborates across departments and with committees where development opportunities exist, supporting shared projects, cultivating donor campaigns, and coordinating tasks that span team boundaries.
  • Contributes to process improvement efforts, including process mapping and the development of standard operating procedures, in coordination with the management team.
  • Represents Pensacola Habitat for Humanity at community events such as galas and fundraisers to promote the organization's mission and programs.
  • Sustains ongoing representation within key community groups and affiliated organizations, such as the Chamber of Commerce, to build and sustain relationships that benefit Pensacola Habitat for Humanity.
  • Supports grant development by researching funding opportunities and compiling required documents, and tracks grant compliance deadlines and correspondence to ensure timely follow-through.
  • Performs other duties as assigned by the management team.

Requirements

KNOWLEDGE, SKILLS, ABILITIES:

EDUCATION, EXPERIENCE:
  • Notary Public certification preferred, or willingness to obtain upon hire.
  • Associate degree preferred.
  • One-year relative experience with special events and fundraising preferred.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:

This position is primarily performed in an office setting and may require sitting for long periods of time. On occasion, this employee may work offsite and perform other tasks that may require repetitive lifting of up to 30lbs when setting up events and necessary props or furniture.

This position requires a valid state driver’s license, safe driving record, reliable transportation, and insurability through our vehicle insurance carrier.
