Description
Are you organized, detail oriented, and someone who enjoys helping create great experiences for others? The Galveston Park Board is looking for a Destination Services Specialist to support destination events, familiarization tours (FAMs), meetings, partner activities, and other projects that showcase Galveston. This position works closely with the Director of Destination Services to bring plans to life by coordinating event details, preparing materials, maintaining accurate information, assisting guests and partners, and providing hands on support before, during, and after events. The Destination Services Specialist also provides support to Sales, Marketing, and Public Relations initiatives as assigned.
What You’ll Do
- Support event preparation and logistics using established plans, schedules, and checklists, while providing updates and identifying any missing information or potential delays.
- Assist with FAMs, meetings, and events by preparing guest packets, name badges, attendance lists, transportation details, itineraries, and other materials.
- Confirm routine event details with hotels, venues, attractions, transportation providers, and other partners, including arrival times, guest counts, deliveries, and setup arrangements.
- Prepare, pack, ship, organize, and store promotional items, printed materials, and supplies for trade shows, meetings, and events.
- Provide on site event support, including setup, registration, guest check in, wayfinding, and breakdown.
- Enter and maintain participant information, RSVPs, contact information, and event records in the organization’s CRM and event management tools.
- Gather logistical information for event plans and run of show documents, and distribute approved materials as directed.
- Request vendor availability and pricing based on provided specifications and forward responses to the appropriate event lead for review.
- Collect receipts and purchasing information and provide documentation to the appropriate administrative staff for processing.
- Monitor event supply quantities, prepare materials for delivery, and communicate replenishment needs.
- Collect attendance information and participant feedback to support event evaluation and reporting.
- Maintain assigned calendars, task lists, and contact lists; coordinate project meetings, prepare meeting materials, and follow up on assigned action items.
- Provide coverage at the Visitor/Welcome Center during staff absences, lunch breaks, and peak visitor periods. Welcome visitors, answer questions, and provide helpful destination information.
- Assist with ambassador programs, community outreach, partner activities, and other destination initiatives as assigned.
- Perform other related duties as needed.
Required
What We’re Looking For
- A degree in hospitality, tourism, event management, or a related field or a combination of college coursework and relevant experience in hospitality, tourism, events, or a related area.
- Strong organizational skills and attention to detail.
- Excellent customer service skills and the ability to interact professionally with visitors, partners, vendors, and coworkers.
- Strong verbal and written communication skills.
- Ability to follow established plans and instructions, manage multiple assignments, meet deadlines, and maintain accurate records.
- Ability to recognize when additional guidance or approval is needed.
- Working knowledge of Microsoft Office and the ability to learn CRM, event management, and other technology platforms.
- Interest in Galveston, its attractions, and the overall visitor experience.
- Ability to work a flexible schedule when needed, including occasional early mornings, evenings, weekends, and holidays.
Preferred
- Previous experience supporting events, meetings, conferences, FAMs, hospitality operations, tourism programs, or visitor services.
- Experience working with hotels, attractions, venues, transportation providers, vendors, or community partners.
- Familiarity with CRM or event management systems.
- Knowledge of Galveston and the local tourism and hospitality industry.
Schedule
- The standard work schedule is Monday through Thursday onsite from 8:30 a.m. to 5:00 p.m. and Friday remote from 8:30 a.m. to 5:00 p.m.
- Because this position supports events and visitor activities, flexibility is required. Occasional early mornings, evenings, weekends, holidays, local travel, and other travel may be required based on event and department needs.
Physical & Work Environment
- This position includes a combination of office work, event preparation, partner visits, on site event support, and assigned Visitor/Welcome Center coverage.
- The role regularly involves sitting and using standard office equipment, as well as standing and walking for extended periods during events. Event assignments may require reaching, bending, handling materials, assisting with setup and breakdown, and moving event supplies.

Requirements
- Bachelor’s degree in Hospitality, Tourism, Event Management, Communications, Business, or a related field or an equivalent combination of education and relevant work experience.
- Previous experience in hospitality, tourism, events, visitor services, customer service, or a related field preferred.
- Strong organizational and time management skills with the ability to manage multiple assignments and deadlines.

- Ability to perform the physical requirements of the position, including standing and walking during events and assisting with event materials, setup, and breakdown.
- Valid Texas driver’s license and acceptable driving record.
