Job summary

ColRich, a San Diego-based real estate, construction and investment firm, seeks a Design Purchasing Coordinator to organize, purchase, and process materials for ongoing projects. You’ll work with Designers, Vendors and Contractors to maintain design standards and manage orders from contract through final billing.

You will build and maintain a design library, track high-volume PO activity, and help identify new vendors aligned with company needs.

Qualifications

  • Ability to work both independently and as part of a team.
  • Strong organizational skills and attention to detail.
  • Capable of managing changing priorities and deadlines.
  • Excellent written and verbal communications skills.
  • Proficient in MS Office; experience with Asana and Gather is a plus.

Responsibilities

  • Work closely with the Designers, Vendors and Contractors.
  • Populate online Resource Library and maintain design standards and project specifications.
  • Process paperwork for orders including contracts, change orders and final billing approvals.
  • Compile monthly receipts for furniture orders and designers.
  • Place, confirm, and track a high-volume amount of purchase orders with multiple vendors.
  • Verify warehouse receiving and inventory coordination with warehouse personnel.
  • Ensure timely arrival of all orders via strong expediting skills.
  • Organize and schedule returns with suppliers as needed.
  • Negotiate pricing and services with warehouses; review contracts as necessary.
  • Oversee and review project costs and identify variances.

About the Role: The Design Purchasing Coordinator responsibilities are to help organize, purchase, and process materials and supplies needed to ensure the successful completion of projects.

Specific responsibilities include:

  • Work closely with the Designers, Vendors and Contractors
  • Populate online Resource Library and keep current for design standards and project specifications
  • Process necessary paperwork for all orders including contracts, change orders and approving final billing
  • Compile monthly receipts for furniture orders and designers
  • Place, confirm, and track a high-volume amount of purchase orders with multiple vendors
  • Verify and document all warehouse receiving and inventory of merchandise through coordination with warehouse personnel.
  • Ensure timely arrival of all orders via strong expediting skills.
  • Organize and schedule returns with suppliers as needed
  • Negotiating pricing and services with warehouses; review contracts as necessary.
  • Oversee and review project costs to ensure accuracy, and identify/report variances as needed
  • Assist with research of product(s) and order samples as requested. Maintain an organized, relevant design library.
  • Assist with identifying, researching, and vetting new vendors that align with company needs, pricing, quality, and service expectations
  • Create internal design presentations as needed
  • Assist Design Team and Department Lead with general department projects as needed
  • Miscellaneous administrative duties as assigned

Requirements:

  • Ability to work both independently and as part of a team
  • Strong organizational skills and attention to detail
  • Ability to work efficiently and accurately while managing changing priorities and deadlines
  • Excellent written and verbal communications skills
  • Self-motivated and proactive, with strong follow-through and the ability to anticipate and address issues before they impact project timelines
  • Capable of compiling and managing detailed documentation/filing
  • Computer proficiency in MS Office Suite - Excel, Word and PowerPoint
  • Experience with Asana and Gather is a plus, but not required
  • Some travel may be required
  • Base salary and discretionary annual bonus competitive with industry standards
