Job summary

Kehoe Designs in Chicago, IL is seeking a Design & Event Procurement Coordinator to source décor, materials, and supplies, negotiate with vendors, and ensure high-quality execution for events.

You’ll collaborate with Sales and Production, manage vendor relationships, travel to trade shows, and contribute to design trends and process improvements. This role requires strong negotiation, organization, and design sensibility.

  • Proven negotiation and vendor-management experience in events.
  • Strong eye for design and awareness of current décor trends.
  • Excellent organizational skills and attention to detail.

Responsibilities

  • Source and procure décor, materials, and supplies for events and operations.
  • Research, evaluate, and manage vendor relationships.
  • Negotiate pricing, contracts, and delivery terms.
  • Monitor inventory levels and optimize purchasing strategies.
  • Partner with Sales and Production to ensure event readiness.
  • Track orders, resolve product availability issues, and communicate updates.
  • Approve purchase orders, invoices, and resolve discrepancies.
  • Identify new sourcing opportunities and supply chains.
  • Contribute creative ideas to enhance event design and aesthetics.
  • Recommend process improvements to increase efficiency and quality.

Position Overview | The Big Picture

We are seeking a creative and detail-oriented Design & Event Procurement Coordinator to join our team. In this role, you will be responsible for sourcing, purchasing, and negotiating décor, event materials, and supplies to ensure high-quality execution at the best possible value.

You will collaborate closely with Sales and Production teams to bring event visions to life, while also managing vendor relationships and staying ahead of design trends. This role offers the opportunity to attend trade shows, source unique décor, and make a direct impact on the aesthetic and success of our events.

What You’ll Do | The Fun Stuff
  • Source and procure décor, materials, and supplies for events and operations
  • Research, evaluate, and manage vendor relationships
  • Negotiate pricing, contracts, and delivery terms
  • Monitor inventory levels and optimize purchasing strategies
  • Partner with Sales and Production to ensure event readiness

  • Proficiency in Microsoft Office (especially Excel)
  • Excellent communication and problem-solving abilities
  • Experience with event or floral design is a plus
  • Willingness to travel and attend trade shows
