Job description

For the detail-obsessed, solution-driven, roll-up-your-sleeves kind of person.

There is something pretty incredible about watching an event come to life. The transformation of a space. The energy of a team working toward a shared vision. The moment when months of planning turn into an unforgettable experience.

But behind every extraordinary event is someone making sure every detail comes together.

That's where you come in.

We're looking for an Event Coordinator who thrives on the excitement, creativity, and occasional chaos of bringing exceptional events to life. Someone who can build a flawless timeline, anticipate a challenge before it becomes a problem, and jump into the action when the moment calls for it.

This isn't a behind-the-desk kind of role. You'll be involved in every stage of execution, from coordinating the moving pieces before an event to being on-site when it all comes together. You'll work alongside talented designers, floral teams, installation crews, and vendors to turn creative visions into remarkable experiences.

If you're energized by a fast-moving environment, take personal pride in delivering exceptional results, and believe no task is beneath you when it comes to getting the job done, we'd love to meet you.

What You'll Do
  • Own the details. Take the lead on event logistics, timelines, layouts, vendor coordination, and all the moving pieces that make an event successful.
  • Bring the vision to life. Partner with design, floral, and installation teams to translate creative concepts into beautifully executed events.
  • Be the go-to person. Build strong relationships with clients and vendors, communicate proactively, and ensure everyone feels confident and informed.
  • Make things happen. Coordinate everything from venue walkthroughs and rental orders to staffing needs, special requests, and event-day logistics.
  • Be where the action is. Show up on-site, oversee setup, guide teams, troubleshoot challenges, and lend a hand wherever it's needed.
  • Think three steps ahead. Anticipate obstacles, adapt when plans change, and find solutions that keep the event moving forward.
  • Keep an eye on the numbers. Track expenses, manage purchases, reconcile event costs, and help ensure each event is as financially successful as it is memorable.
What Makes You a Great Fit
  • You're a doer. You don't wait to be asked, and you're just as comfortable jumping into setup as you are managing a detailed production schedule.
  • You take ownership. You follow through, hold yourself accountable, and care deeply about the quality of your work.
  • You thrive under pressure. Tight timelines, competing priorities, and last-minute changes bring out your resourcefulness.
  • You're relentlessly organized. Details matter to you, and you have the systems and discipline to keep multiple events moving simultaneously.
  • You're a natural collaborator. You communicate clearly, build trust, and understand that great events require everyone working together.
  • You're flexible and adaptable. You understand that the event calendar doesn't always follow a traditional workweek, and you're ready to be there when it matters.
  • You're genuinely love hospitality. Creating memorable experiences and exceeding expectations is what motivates you.
What You'll Bring
  • Experience coordinating events, managing logistics, or working in event production or a related field.
  • Strong organizational, communication, and problem-solving skills.
  • Experience working with vendors, managing budgets, and coordinating multiple priorities.
  • Comfort using Microsoft Office and event management platforms; experience with Caterease, NOWSTA, Social Tables, or similar systems is a plus.
  • Availability to work evenings, weekends, and holidays based on event schedules.
  • Ability to be active on-site for extended periods and assist with event setup and breakdown, including lifting up to 50 pounds.
Ready to Make It Happen?

The most rewarding events don't happen by accident. They happen because passionate, talented people care enough to get every detail right.

If you're someone who finds satisfaction in a job well done, brings positive energy to a challenge, and loves being part of the team that makes the magic happen, we want you on ours.
