Responsibilities

  • Prepares, organizes, and maintains criminal files for the court system.
  • Drafts routine correspondence, court orders, and reports to state agencies as required by statute.
  • Provides support to Circuit Court Judges, including court proceedings.
  • Drafts orders, reviews pleadings, notices of appeal and other correspondence.
  • Schedules criminal cases and manages docket-related tasks for judges.
  • Maintains court management and imaging systems and related software.
  • Reviews daily/weekly case age reports per applicable codes.
  • Supports senior staff with additional assigned duties.

Deputy Clerk I – Criminal Division Clerk of Circuit Court

Employment Status: Full-Time FLSA Status: Non-Exempt Experience Required: 1-3 years in professional office environment Minimum Education Requirements:Paralegal certification or NALA (Certified Legal Assistant/Certified Paralegal) or NFPA (Registered Paralegal) preferred - OR - any equivalent combination of education, experience and/or training sufficient to demonstrate the knowledge, skills and abilities is acceptable. High School Diploma is the minimum requirement Direct Supervisor:Clerk of Circuit Court Primary Work Location: Office setting Physical requirements: This is sedentary work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Regular required tasks include sitting; talking or hearing, in-person, and virtual meetings; using hands to handle or operate standard office equipment; and reaching with hands and arms. The employee is frequently required to walk, bend, kneel, and stand; in addition, use written and oral communication skills; read and interpret data, information, and documents; analyze and solve problems; observe and interpret people and situations; use math and mathematical reasoning; learn and apply new information or skills. Specific vision abilities required by this job include close vision and the ability to adjust focus. Certification: None

Job Summary: This employee is a paraprofessional. This position has the unique ability to learn and retain often difficult and ever-changing codified procedures. The front-line positions are the forward-facing positions in the office in each court department as well as in the courtroom. Professional adherence to current office practices and procedures, laws applicable to the role is a must with the ability to take on responsibilities or duties as needed by senior management.

Essential Job Functions

All duties of the Criminal Deputy Clerk are essential functions. There are no supervisory skills required, however they may be tasked with teaching temporary and part-time employees the needed skills to review case information for proper entry in a multitude of state computer systems. The list below encompasses the general requirements of the Criminal Division of court functions:

  • Prepares, organizes, and maintains the court’s criminal files
  • Drafts routine correspondence, memoranda, court orders and reports to state agencies when required by statute
  • Provides support to Circuit Court Judges, including court proceedings
  • Drafts criminal orders, reviews pleadings, notices of appeal and other correspondence and identifies applicable timelines
  • Issues notices, subpoenas, capiases, and writs, assists in scheduling criminal cases for specific docket calls for each judge
  • Maintains Circuit Case Management System, Financial Accounting System, Case Imaging System, Appeals Modules, Digital Appellant Record System, CaseForm System, Electronic Voucher Pay System, and others dependent upon need
  • Reviews daily and weekly reports related to case age to assure proper timely rules as provided by the Code of Virginia
  • Assists all senior staff in completing other assigned duties for the office

Knowledge

  • Basic knowledge of courtroom procedures, operations of the Clerk of the Circuit Court office, departmental procedures, guidelines; Federal, State and County laws applicable to the operation of the Clerk
  • Basic knowledge of financial transactions and receipting
  • Knowledge of legal procedures, terminology, and instruments of the court

Skills

  • Effective oral and written communication skills
  • Must be an accurate, fluent typist able to prepare documents and transfer data into digital files in a fast-paced environment

Abilities

  • Ability to deal with situations requiring tact, diplomacy, fairness, and good judgment
  • Ability to take necessary actions and maintain and establish an effective working relationship with public, officials, judges, attorneys, and other agencies using both oral and writing skills
  • Regular work attendance is required
