Job summary

thesmilist in Syosset, NY is seeking a dynamic Practice Manager for our high-end dental practice. You will lead daily operations, coordinate scheduling, and supervise staff to deliver exceptional patient care while optimizing workflows and finances.

The role requires 3+ years in dental management, Dentrix experience, and strong leadership. You will drive patient satisfaction, manage budgets, and support growth initiatives to expand services and patient volume.

Qualifications

  • 3+ years of management experience in a dental setting.
  • Prior experience with Dentrix preferred.

  • Strong business acumen: monitor production/collection, read P&L, manage budgets.

Responsibilities

  • Manage and coordinate all aspects of the dental office's daily activities, including patient scheduling, appointment management, and patient flow.
  • Ensure smooth and efficient office operations by optimizing workflows, patient wait times, and experiences.
  • Act as the primary point of contact for patients, addressing concerns promptly and professionally.
  • Ensure patients are informed about treatment plans, finances, and post-care instructions with excellent service.
  • Supervise, train, and evaluate staff including receptionists, assistants, hygienists, and coordinators.
  • Promote teamwork, professionalism, and continuous learning within the office.
  • Coordinate staff schedules for adequate coverage and adjust as needed.
  • Monitor performance, provide feedback, and conduct reviews for all team members.
  • Oversee billing, coding accuracy, insurance verification, and timely collections.
  • Manage accounts receivable and assist with patient payment plans.
  • Develop and manage office budgets, track expenses, and improve financial outcomes.
  • Prepare financial reports and identify profitability improvements.
  • Ensure compliance with OSHA, HIPAA, ADA and other regulations.
  • Maintain confidential patient records in accordance with HIPAA.
  • Develop and execute marketing to attract new patients and retain current ones.
  • Coordinate patient outreach, recalls, and appointment reminders to boost retention.
  • Collaborate with dentist/owner on growth strategies and service expansion.
  • Identify opportunities to expand services and increase patient volume.

Qualifications:

Key Responsibilities:

  • Monitor performance, provide feedback, and conduct performance reviews for all team members.
  • Oversee the billing process, ensuring accurate coding, insurance verification, and timely collection of payments from patients and insurance companies.
  • Manage accounts receivable, monitor outstanding balances, and work with patients on payment plans or financial arrangements.
  • Develop and manage office budgets, track expenses, and ensure the office operates within budgetary constraints.
  • Prepare financial reports, monitor profitability, and recommend strategies to improve office performance and financial outcomes.
  • Ensure the dental office adheres to all local, state, and federal regulations, including OSHA, HIPAA, and ADA requirements.
  • Maintain up-to-date knowledge of dental laws, regulations, and industry standards to ensure ongoing compliance.
  • Implement and enforce office policies, procedures, and protocols to maintain consistency and high standards of care.
  • Ensure accurate and confidential patient recordkeeping in compliance with HIPAA regulations.
  • Develop and execute marketing strategies to attract new patients and retain current ones, including managing the practice's online presence, social media, and local advertising.
  • Coordinate patient outreach, recall systems, and appointment reminders to improve patient retention.
  • Collaborate with the dentist or practice owner to implement growth strategies, assess market trends, and enhance service offerings.
  • Identify and recommend opportunities for expanding services, improving patient care, and increasing patient volume.
