Job summary

Dental Views is seeking an Operations Manager to lead dental practice operations, oversee staff coordination, and ensure high-quality patient care. The role focuses on maximizing patient flow, productivity, and teamwork while maintaining compliance with OSHA, HIPAA, and company policies.

Responsibilities

  • Assist with recruitment, interviewing, and hiring of team members.
  • Work with staff and doctors on dental services quality standards and customer service.
  • Monitor employee performance and provide regular feedback.
  • Coordinate weekly/monthly work schedules.
  • Review and approve employee timecards.
  • Follow up on past-due collections.
  • Enforce company policies and procedures.
  • Monitor production and collections goals on a daily/weekly/monthly basis.
  • Maintain patient records, collections data, and deposits.
  • Motivate staff to increase production.
  • Communicate solutions to problems.
  • Prepare internal reports as required.
  • Coordinate morning huddles and monthly team meetings.
  • Other duties as assigned by Regional Manager.

Job description

The Operations Manager performs, delegates, and oversees a variety of managerial and administrative duties while working closely with the Regional Operations Manager. The Office Manager is responsible for coordinating all staff activity as well as the maximization of patient flow, productivity, and teamwork. Other duties include, but are not to be limited to, patient relations, scheduling, account maintenance, treatment consultation, payment arrangements, quality management, personnel matters, employee performance, reporting, billing, bookkeeping, cash and payment reconciliation, employee work schedules, company policy and procedure compliance, OSHA, HIPAA, Code of Safe Practice compliance, and risk management. The Office Manager is also responsible for promoting a safe and productive work environment with minimal stress.

Requirements
Dental Operations Manager Qualifications
  • Knowledge of OSHA and HIPAA Compliance Standards required
  • Advanced knowledge and use of dental terminology required
  • Knowledge of and proficiency in finance, human resource management, and principles of business preferred
  • Means to travel from one office to another, required as necessary
  • Working knowledge of Outlook and Excel
Dental Operations Manager Responsibilities and Duties
  • Assist with recruitment, interviewing, and hiring of team members
  • Work with office staff and doctors on dental services quality standards and customer service
  • Monitor employee performance and provide performance feedback regularly
  • Coordinate employee weekly/monthly work schedules
  • Review, correct, and approve employee timecards
  • Follow-up on collections for past due accounts
  • Implement and enforce all legal provisions and Company policies and procedures outlined in the Employee Handbook
  • Monitor production and collections goals on a daily/weekly/monthly basis
  • Maintain accurate patient records, collections data, reconcile collections, daily deposits, and supporting documentation
  • Motivate staff to increase production and maximize their potential
  • Communicate and provide constructive solutions to problems
  • Prepare in-house reports, new patient spreadsheets and/or managerial reports as required
  • Coordinate and complete morning huddles and monthly team meetings
  • Other duties as assigned by the Regional Manager
Dental Operations Manager Education
  • High School Diploma or General Educational Diploma (GED) required
Dental Operations Manager Experience
  • At least 3 years of dental practice management are preferred.
  • 2 years of Dental Views experience may be considered
