Business Assistant (Dental Office Assistant)
Forward Dental in New Berlin is seeking a friendly, organized, and motivated Business Assistant to join our growing team. This role is ideal for someone who enjoys patient interaction and working in a fast‑paced healthcare environment.
Responsibilities
- Greet and welcome patients as they enter the office, creating a great first impression.
- Manage front office duties, including answering phones, checking office mail and e‑mail, and communicating with patients and insurance companies.
- Utilize Dentrix for patient scheduling and record maintenance.
- Schedule and confirm appointments for multiple providers.
- File patient insurance claims, follow up on outstanding claims, verify benefits, and explain coverage.
- Post insurance and patient payments and process accounts receivables.
- Review treatment plans, fees, and payment options with patients.
- Partner with providers and team to implement Heartland Dental systems to optimize office potential.
Schedule (Full‑Time)
- Monday: 7:30 AM – 4:30 PM
- Tuesday: 8:00 AM – 4:30 PM
- Wednesday: 9:00 AM – 5:00 PM
- Thursday: 9:00 AM – 5:00 PM
Qualifications
- 2–3 years of experience in a dental or medical office preferred.
- Previous experience as a receptionist or in customer service.
- Strong communication and organizational skills.
- Professional, positive, and team‑oriented attitude.
- Experience working in a fast‑paced, customer‑centric environment.
- Excellent communication and organizational skills.
- Experience in a dental or medical setting (1+ year).
- Experience with insurance billing and accounts receivable (1+ year).
- Proficiency with Dentrix or other dental software.
Physical Requirements
- Ability to perform essential duties with or without reasonable accommodation.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Availability to attend virtual or in‑person training sessions periodically.
- TB test required for new hires in dental office positions (standard requirement). Not applicable in FL & TN.
