Job Summary:
Under the direct supervision of the Dental Office Manager/Dental Contact Center Supervisor, or their delegate, facilitate a timely and orderly process of serving the patient from appointment and provider scheduling to completion of office visit information. Assist other staff functions in support of members needs.
Essential Responsibilities:
- All Dental Facilities: Effectively communicate with members and other office employees. Provide and request information of other departments and external firms. Assist other staff members and providers as needed to ensure orderly and efficient patient care. Explain to patients how they can get various information, e.g., our Information Center, their benefits office, etc. Represent Kaiser Permanente positively. Dental Offices Only: Receive patients during check-in and check-out. Maintain current daily schedule. Document arrivals, cancellations, reschedules. Instruct new patients to fill out Health Questionnaire and Personal Data Form. Verify and update personal data. Determine, explain, and collect all fees for services rendered according to patient benefits, fee schedule, and cash policy. Check reception area regularly for prompt attention. Review visit slips for completeness and treatment status. Confirm future appointments. Enter visit data into the computer. Schedule, cancel, and reschedule patient appointments.
- Answer staff questions: Regarding daily schedule. Relay pertinent information affecting treatment or flow. Verify schedule accuracy. Ensure all records are available. Respond to chart requests. Screen emergency requests. Notify auxiliary staff of emergencies. Respond to OPD-requests. Complete missing visit slip report. Balance cash drawer and perform other cash duties. Respond to emergencies per guidelines. Send charts to other clinics as needed. Inventory supplies. Perform other duties as assigned.
- Dental Contact Center/Staff Scheduling Center Only: Schedule patient appointments. Maintain department performance targets. Receive and schedule calls. Confirm, cancel, or reschedule appointments. Screen for emergencies. Relay information on same-day appointments. Initiate chart requests. Know provider scheduling protocols. Assist dental staff with schedules. Perform other duties as assigned.
- Work Environment Policies: Follow policies on time management, attendance, confidentiality, and professionalism. Maintain a positive attitude. Address members courteously, both in person and on the phone. Ensure proper identification and communication standards.
