Job summary

Dental Associates in Pleasant Prairie, Wisconsin, is seeking a Clinic Operations Manager to lead a multi-disciplinary team in delivering high-quality dental care. You will oversee clinic operations, staff performance, and patient flow, ensuring efficient, compassionate service across the practice.

This role requires clinical experience, several years of supervisory responsibility, strong communication and organizational skills, and a commitment to continuous improvement and compliance with OSHA,

Qualifications

• Minimum 5 years of clinical DA or RDH experience.
• 3+ years in a healthcare supervisory role.
• Knowledge of dental terminology and practices.
• Coaching and counseling skills for large staff.
• Ability to collaborate with internal clients and solve problems.
• Excellent interpersonal, communication and organizational skills.

Responsibilities

• Provide leadership and oversight of clinic staff and operations.
• Coordinate resources for day-to-day operations and patient flow.
• Oversee staff activities to ensure a consistent patient experience.
• Ensure staffing aligns with hours of operation.
• Fill in for Dental Services Reps or Dental Assistants as needed.
• Coordinate doctors and staff and mediate problems as necessary.
• Resolve patient concerns to promote excellence and staff engagement.
• Assist in annual business plans and budgeting.
• Manage sterilization area and log test results.
• Act as a change agent for lean continuous improvement.
• Ensure staff and patient safety per OSHA, CDC, HIPAA.

Job Responsibilities

Providing effective leadership, support and oversight of clinic staff members and clinic operations to ensure a productive work environment that results in the delivery of quality and cost-effective services yielding high patient outcomes.

• Provide work direction with clear responsibility for the coordination of resources to efficiently support day-to-day operations and the smooth flow of patients through the clinic
• Oversee staff activities to provide a consistent patient experience
• Ensure clinic is staffed appropriately for hours of operation to meet the needs of patients and providers
• Fill in for Dental Services Representatives or Dental Assistants to account for absenteeism or high-volume periods
• Coordinate the needs of doctors and serve as liaison between doctors and support staff to mediate and solve problem as necessary
• Resolve patient concerns, complaints and issues to promote patient excellence and staff engagement
• In collaboration and with direction from the Practice Manager prepare annual business plans and related strategies; participate in the development of the annual budget
• Manage the sterilization area ensuring the testing of the equipment is performed and logged, reporting failed test results to the Practice Manager
• Act as a change agent for continuous improvement results, utilizing lean principals and tools
• Ensure staff and patient safety is maintained at all times following OSHA, CDC and HIPAA guidelines

Job Requirements

• Clinical experience required in dental assisting or dental hygiene; minimum of 5 years of experience as a DA or RDH is strongly preferred
• 3 or more years of experience in a multi-department supervisory role within healthcare preferred
• General knowledge of dental terminology and dental assisting practices
• Demonstrated coaching and counseling skills with ability to supervise large number of staff in a fast-paced environment
• Ability to successfully collaborate with a variety of internal clients, identify problems and offer solutions
• Excellent interpersonal, communication and organizational skills
• Ability to learn and practice new concepts quickly along with mentoring others
• Demonstrated professional and ethical standards to gain and maintain credibility
