Job summary

Good Shepherd is seeking a Dental Administrative Assistant for the Barrett Centre, supporting the dental clinic and coordinating patient access to care. You will manage appointments, referrals, registrations, and records while ensuring PHIPA-compliant handling of health information and effective communication with healthcare partners.

Reporting to the Director, you will work in a fast-paced, collaborative team environment, provide reception support and assist with billing and program data,

Qualifications

  • Completion of a Dental Office Administration program or diploma, Medical Secretary Diploma, or equivalent relevant education.
  • Experience with medical terminology.
  • Experience interacting with healthcare professionals and knowledge of the local healthcare system.
  • Experience with patient registration, documentation, referrals, and scheduling in a medical or healthcare environment.
  • Experience supporting individuals who experience barriers to accessing healthcare.
  • Strong database entry, record management, and statistical data collection skills.
  • Knowledge of PHIPA and the handling of confidential personal health information.
  • Current CPR/First Aid certification and WHMIS training.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced and changing environment.
  • Strong organizational skills, flexibility, creativity, and attention to detail.
  • A respectful, compassionate, and client-centred approach.

Responsibilities

  • Coordinate schedules for dental healthcare providers and manage patient appointments and referrals.
  • Maintain electronic and hard-copy patient information in accordance with PHIPA guidelines.
  • Support communication between healthcare providers, pharmacies, physicians, hospitals, diagnostic facilities, Good Shepherd programs, and community partners.
  • Assist healthcare providers with patient communications by telephone, email, and fax.
  • Assist with provider billing and other administrative requirements as needed.
  • Maintain databases, program records, reports, statistics, and information required for program evaluation, audits, and funder reporting.
  • Support program communication processes and assist with monitoring program effectiveness.
  • Assist with tours and orientation for visitors as required.
  • Participate in a fast-paced, collaborative team environment and perform other duties as assigned.

Rate of Pay:

$25.30-29.98 (Starting salary will be determined by factors such as relevant experience, qualifications, internal equity, and market conditions.)

How You Will Make An Impact

Reporting to the Director, Barrett Centre for Crisis Support, the Dental Administrative Assistant provides administrative and reception support to the dental clinic and facilitates timely access to dental healthcare services.

The successful candidate will coordinate schedules for dental healthcare providers, manage patient appointments and referrals, maintain records and statistical information, and support communication between healthcare providers, patients, Good Shepherd programs, and community partners.

Working in accordance with Good Shepherd's Mission, Vision, and Values, the Dental Administrative Assistant will provide respectful, client-centred, culturally responsive service while supporting a Harm Reduction, anti-racist, and anti-oppressive approach.

  • Assess patient appointment requests, facilitate access to dental care, and coordinate healthcare provider schedules.
  • Provide telephone reception and respond to patient and clinic inquiries in a timely and respectful manner.
  • Manage new patient registrations, referrals, specialist referrals, and patient records.
  • Maintain electronic and hard-copy patient information in accordance with organizational requirements and PHIPA guidelines.
  • Support communication between healthcare providers, pharmacies, physicians, hospitals, diagnostic facilities, Good Shepherd programs, and community partners.
