Job summary

Heartland Business Systems is seeking a Delivery Support Specialist to ensure efficient day-to-day operations of the delivery team across multiple business units. You will coordinate schedules, assist with quotes, and support SOW creation and invoicing.

The role involves collaboration with Inside Sales, AR, and various leaders to optimize resource planning and project execution, with a focus on accuracy and timely delivery in a fast-paced environment.

Qualifications

• 1+ years of experience utilizing a ticketing or service management platform to manage scheduling, assign tasks, monitor progress, produce reports, and support operational research
• 2+ years of administrative and/or office support experience including scheduling, planning
• Bachelor’s Degree or equivalent experience
• Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
• Effective communication across teams and supporting operational alignment
• Strong prioritization and teamwork mindset

Responsibilities

• Collaborate with Inside Sales and AR to monitor service intake boards and new delivery engagements
• Monitor and respond to presales requests and assist with resource assignment and scheduling
• Quote services, ensuring accurate margin, pricing, and descriptions for client quotations
• Monitor contract and license expirations and coordinate renewals or modifications with Sales
• Assist with creation of Statements of Work (SOWs) and support for customized scoping
• Assist Leaders with quoting, opportunity analysis and forecasting for scheduling and planning
• Troubleshoot billing errors and coordinate credits/rebills with AR
• Support accounting on service setups and invoicing; review agreements for accuracy
• Collaborate with Sales, Finance, and other units; suggest process improvements
• Assist with marketing activities and special projects as defined by Operations Manager
• Attend team meetings and cross-train across units
