Deal Desk Coordinator

MOD42 is seeking a highly organized, curious, and proactive Deal Desk Coordinator with impeccable attention to detail to keep commercial agreements—and the deals behind them—moving.

Your primary responsibility will be managing NDAs, commercial agreements, and related contract workflows from initial request through legal review, signature, and final documentation. You will coordinate with legal counsel, track redlines and escalations, follow up on outstanding actions, and keep records organized in HubSpot and the company's file management system.

No two days are the same.

We're looking for someone who asks thoughtful questions, notices inconsistencies, and speaks up when something doesn't look right. You don't need to negotiate contracts, but you do need to understand the process, recognize when clarification is needed, and elevate concerns to the right person.

Key Responsibilities
Own Commercial Agreement Workflows
  • Coordinate NDAs and other commercial agreements from intake through execution and final filing.
  • Verify legal entity names, signer information, titles, addresses, and required details before documents are issued.
  • Prepare and send approved agreement templates through the e-signature platform.
  • Route third-party agreements, redlines, and proposed changes to legal counsel.
  • Track document versions, review comments, outstanding questions, and escalations.
  • Maintain clear visibility into each agreement's status, next action, responsible party, and timeline.
  • Proactively follow up with internal teams, legal counsel, and counterparties so documents do not sit unattended.
  • Flag missing information, inconsistencies, delays, and potential concerns promptly.
  • Confirm required NDAs are executed before customer meetings, factory tours, or site visits.
Maintain Accurate, Accessible Records
  • Record agreement activity and status in HubSpot.
  • File executed agreements and supporting documents in Box or the designated company repository.
  • Maintain clear naming conventions, version histories, and organized customer and project folders.
  • Protect approved master templates and confidential company and customer information.
  • Keep trackers current so leadership can quickly identify outstanding agreements and bottlenecks.
Support Commercial Operations
  • Maintain accurate contact, company, and deal records.
  • Support pipeline reviews, proposal status updates, and priority tracking.
  • Coordinate customer meetings and track follow-up actions through completion.
  • Assist with customer visits, conferences, and other commercial activities as priorities require.
  • Communicate changing deadlines and competing demands to the Director of Commercial Operations.
What You Bring
  • Experience in contracts administration, legal support, finance or operations coordination, sales operations, or a related role; 2–5 years of relevant experience preferred.
  • Impeccable attention to detail and a disciplined approach to documentation.
  • Curiosity and confidence to ask questions rather than make assumptions.
  • Experience coordinating agreement reviews, tracking revisions, or managing document approval workflows.
  • Strong organizational skills and the ability to juggle multiple priorities without losing track of outstanding details.
  • Comfort with ambiguity, changing priorities, and the pace of a growing business.
  • Clear, professional communication with legal teams, executives, customers, and external partners.
  • Consistent responsiveness during business hours and the ability to act quickly on time-sensitive requests.
  • Strong Excel or Google Sheets skills; HubSpot or other CRM experience is preferred.
  • Familiarity with e-signature tools and shared file management platforms is helpful.
  • Sound judgment when handling confidential information and escalating issues.
What Success Looks Like

Agreements move forward, records are accurate, and outstanding actions are visible. You follow through without repeated reminders, raise questions early, and help the Director of Commercial Operations keep deals moving with confidence.
