Job summary

MOD42 is seeking a detail-oriented Document Control Specialist to manage documentation across engineering, procurement, manufacturing, and turnover stages. The role requires coordinating reviews, maintaining revision control, and ensuring accurate records for fast-moving projects in a modular data center environment.

The ideal candidate will handle drawings, specs, submittals, and RFIs, while aligning with project teams on-site in Phoenix.

Qualifications

  • Three or more years of document control, project coordination, project administration, or records management experience in engineering, construction, manufacturing, infrastructure, or a related technical environment.
  • Demonstrated experience managing technical drawings, specifications, revisions, transmittals, submittals, requests for information, and project records.
  • Strong working knowledge of Microsoft 365, including Excel, Word, Outlook, Teams, and SharePoint.
  • Ability to learn and work effectively within electronic document management, project management, or common data environment platforms.
  • Strong attention to detail, organization, follow-through, and written communication skills.
  • Ability to work collaboratively with technical and nontechnical stakeholders in an on-site environment.

  • Maintain the central document control system for engineering, procurement, manufacturing, quality, field installation, commissioning, and turnover records.
  • Receive, log, route, distribute, and archive drawings, specifications, procedures, reports, submittals, requests for information, transmittals, change records, and vendor documentation.
  • Apply document numbering, naming, revision, status, metadata, and retention standards consistently across projects and product records.
  • Verify that superseded documents are removed from active use and that current approved revisions are readily available to internal teams and external partners.
  • Maintain complete document histories, audit trails, approval records, and controlled access to confidential information.

Position Overview

The Document Control Specialist maintains the accuracy, accessibility, and traceability of project and product documentation throughout the engineering, procurement, manufacturing, construction, and turnover lifecycle. This individual manages controlled documents, coordinates reviews and approvals, distributes current revisions, and helps ensure teams are working from the correct information.

The ideal candidate is highly organized, comfortable working across technical teams, and experienced managing drawings, specifications, submittals, vendor records, quality documentation, and closeout packages in a fast-moving engineering, manufacturing, construction, or mission-critical environment.

Required Qualifications
  • Three or more years of document control, project coordination, project administration, or records management experience in engineering, construction, manufacturing, infrastructure, or a related technical environment.

Preferred Qualifications
  • Experience supporting data center, mission-critical, modular construction, advanced manufacturing, electrical, mechanical, or structural projects.
  • Experience with platforms such as Autodesk Construction Cloud, Procore, SharePoint, Bluebeam, Aconex, Newforma, or a comparable document management system.
  • Familiarity with quality management systems, configuration control, document retention requirements, and audit preparation.
  • Experience compiling customer turnover packages, operation and maintenance manuals, commissioning records, or as-built documentation.
  • Associate or bachelor's degree in business, construction management, engineering technology, information management, or a related field. Equivalent relevant experience will be considered.
Key Responsibilities
Document Control and Records Management
  • Maintain the central document control system for engineering, procurement, manufacturing, quality, field installation, commissioning, and turnover records.
  • Receive, log, route, distribute, and archive drawings, specifications, procedures, reports, submittals, requests for information, transmittals, change records, and vendor documentation.
  • Apply document numbering, naming, revision, status, metadata, and retention standards consistently across projects and product records.
  • Verify that superseded documents are removed from active use and that current approved revisions are readily available to internal teams and external partners.
  • Maintain complete document histories, audit trails, approval records, and controlled access to confidential information.
Workflow and Revision Coordination
  • Coordinate document review and approval workflows with engineering, project management, procurement, manufacturing, quality, commissioning, vendors, and trade partners.
  • Track outstanding reviews, comments, approvals, and overdue actions; follow up with document owners to keep deliverables moving.
  • Issue controlled transmittals and maintain accurate registers for submittals, requests for information, drawings, specifications, and change documentation.
  • Support redline, as-built, and record-document processes by collecting field and factory changes and routing them for formal incorporation.
  • Communicate document releases and revisions clearly so affected teams understand what changed and when the new information becomes effective.
Project and Product Documentation
  • Support the organization and control of design packages, shop drawings, fabrication drawings, bills of material, inspection records, test reports, nonconformance records, manuals, and commissioning documentation.
  • Review incoming documentation for completeness, correct formatting, required approvals, and alignment with established requirements before release or filing.
  • Compile turnover packages, operation and maintenance manuals, warranties, certifications, as-built records, and other customer deliverables.
  • Assist with document readiness reviews at key project and manufacturing milestones.
  • Provide requested records during internal reviews, customer reviews, quality audits, and project closeout.
Process Improvement and Team Support
  • Help establish and improve document control procedures, templates, naming conventions, folder structures, registers, and reporting tools.
  • Train and support team members in document control requirements and system use.
  • Monitor document quality and compliance, identify gaps or recurring issues, and recommend practical improvements.
  • Prepare routine status reports and metrics covering document volume, review aging, overdue actions, revision status, and closeout readiness.
  • Support multiple priorities and projects while maintaining accuracy, responsiveness, and professional communication.

Work Environment
