The Data & Systems Manager is responsible for designing, maintaining, and optimizing the organization's technology ecosystem. This role oversees the collection, organization, security, and analysis of organizational data while ensuring that all digital systems function efficiently and reliably. Working closely with leadership and program staff, the Data & Systems Manager transforms ideas into functional systems by developing forms, automations, workflows, and reporting tools that support organizational operations. This position requires a combination of technical expertise, analytical thinking, project management, and creative problem-solving.
The Data & Systems Manager serves as the organization's primary systems architect, maintaining administrative access across critical platforms and ensuring that technology supports the organization's mission while protecting user privacy and data integrity.
Systems Administration
- Administer and maintain organizational software platforms, including Airtable, Fillout, Google Workspace, Squarespace, and other operational systems.
- Configure user permissions and manage system access across platforms.
- Maintain system integrity, security, and operational reliability.
- Evaluate, implement, and optimize new technology solutions.
Data Management & Analysis
- Design and maintain databases and data collection systems.
- Ensure accurate and secure transfer of information between multiple platforms.
- Monitor data quality and integrity.
- Analyze organizational data to identify trends, measure program outcomes, and provide projections that support strategic decision-making.
- Develop reports and dashboards for leadership and program staff.
Automation & Workflow Development
- Build and maintain digital forms, workflows, and automations.
- Develop efficient processes that reduce manual work and improve data accuracy.
- Integrate platforms using APIs and automation tools.
- Continuously improve existing workflows to increase organizational efficiency.
- Serve as the primary technical resource for staff.
- Troubleshoot software, hardware, and platform issues.
- Assist staff, board members, and users with technical challenges as needed.
- Support technology used during organizational events and program operations.
Program & Operational Support
- Develop and maintain registration forms, scheduling systems, calendars, donation management systems, and other operational tools.
- Design technology solutions that support new organizational initiatives.
- Collaborate with leadership to translate operational ideas into scalable digital systems.
- Ensure systems provide appropriate access while protecting confidential information.
Data Security & Privacy
- Maintain appropriate security standards across all organizational platforms.
- Protect sensitive participant and organizational information.
- Design systems that balance accessibility with privacy and security requirements.
- Monitor permissions and data governance practices.
Working Relationships
The Data & Systems Manager works closely with:
