Job Description

Job Title: Data Systems Coordinator

FLSA Status: Exempt

Regular/Temp: Grant-funded, regular, hybrid (3 days in office in Rhode Island required)

ESSENTIAL DUTIES AND RESPONSIBILITIES
Data Collection
  • Establish the scope and detail of agency data reporting and determine data needed to be collected and the appropriate resources for specific projects
  • Formulate, implement, and enforce proper data collection policies and procedures for all existing databases
  • Ensure quality and timely data collection techniques are established for reporting agencies
  • Educate and train staff on proper data input processes
Data System Management
  • Coordinate the flow of information between RIAEYC and funders to ensure all deliverables are met in the most efficient, effective and expeditious manner
  • Review and evaluate the data requirements of grant funding in conformance with state and federal laws, rules and regulations to ensure compliance with the provisions of these rules, laws and regulations
  • Determine the consistency of data policies, procedures and methods to initiate alterations as appropriate
  • Maintain close working relationship with software vendors and ensure that all vendor updates are properly installed and rolled out and that data system is operational
  • Work closely with DHS on database integration
  • Troubleshoot data submission errors and data error issues
  • Perform and document procedures for data preparation including data cleaning, standardization and analysis
  • Develop data collection and evaluation methodologies, including format design, project criteria and requirements, data compilation, relevancy and usage.
Data Reporting and Analysis
  • Prepare detailed and comprehensive reports as related to RIAEYC processes and achievements related to grant funding
  • Understand and ensure privacy law and standards
  • Evaluate current systems to improve operations and application processes
  • Prepare monthly, quarterly, and annual data reports for distribution
  • Develop ad-hoc reports as necessary
  • Consult with staff on data coding problems and assists in developing means to correct the problems
  • Foster relationships with other state agencies that have interest in RIAEYC data
  • Attend and participate in related Data Meetings
  • Represent RIAEYC needs regarding information to be included in data reports produced by the statewide early childhood data system
  • Provides on-going consultation and technical assistance
  • Assist by performing other necessary administrative tasks and research in preparation of grant deliverables
  • Related work as required

QUALIFICATIONS

Minimum Education, Skills, and Experience
  • Bachelor’s degree in related field
  • At least five (5) years experience in data collection and evaluation.
  • Experience working at a non-profit agency.
  • Working knowledge of state data systems
