Simpson Housing Services in Minnesota is seeking a detail-oriented Data Entry & Reporting Specialist to support HMIS data quality, case management data review, and staff training.

This in-office, full-time role involves Excel reporting, pulling HMIS reports, and collaborating with the OST and programs teams; after a 90-day probation, hybrid work may be available.

Qualifications

  • Bachelor’s degree or equivalent experience in education, training, and skills is preferred.
  • Minimum of one year working with data entry and reporting.
  • Experience working in social services with low-income individuals and/or families in need of housing is preferred.
  • Proficient in Microsoft Excel.

Responsibilities

  • HMIS Data Entry and Reporting Support: assist with data entry and reporting for assigned projects in HMIS (ClientTrack) across multiple funding sources.
  • Follow the agency HMIS Reporting Calendar to support data quality and meet reporting requirements.
  • Identify and rectify errors on various report types and respond to funders requiring information from HMIS.
  • SHS ClientTrack Application Support: build and pull reports to support case management, service delivery and fundraising; ensure staff access and provide training materials.
  • Provide initial and ongoing ClientTrack training and documentation for staff.
  • Update ClientTrack to meet HMIS reporting needs in collaboration with OST Manager.
  • Create and maintain training materials and reference guides in SharePoint.
  • Operations Support: identify ways to improve data quality across housing programs; update program documents in SharePoint; assist Programs Support Staff.
  • Collaborate with Operations Support Team; monitor Team mailbox and triage requests.
  • Public Relations/Networking/Liaison: communicate QA needs to program managers; build positive relationships; participate in meetings.

Job description

Summary

This position will provide a high level of data quality to support our case management and meet compliance standards. This position will be responsible for data entry in Homeless Management Information System (HMIS), the review of case notes and files, staff training support, pulling reports and manipulating data in Microsoft Excel. This position requires an organized, detail-oriented, team player who possesses great communication skills and has experience working with large quantities of data.

NOT A REMOTE POSITION. Full-time, 40 hours per week, hourly – in office position.

*After 90-day probation period, hybrid work may be available under certain conditions.

Responsibilities
HMIS Data Entry and Reporting Support:
  • Assist with data entry and reporting for assigned projects in HMIS (ClientTrack) across multiple funding sources.
  • Follow the agency HMIS Reporting Calendar to support data quality and meet reporting requirements.
  • Understand how to identify and rectify errors on the various report types, be responsive to ICA and other funderswho may require impromptu information to be pulled from HMIS.
SHS ClientTrack Application Support:
  • Build and pull reports from ClientTrack to support case management, service delivery and fundraising as requested by managers and communications staff.
  • Ensure staff access to direct support for technical issues with the application or with data collection procedures – including assisting with Team Data Days and Data Pancakes.
  • Provide initial and ongoing ClientTrack training and documentation for staff on the application and data collection best practices.
  • Understand the different program requirements across funders in HMIS, and work with the OST Manager to update ClientTrack to better meet HMIS reporting needs.
  • Create and maintain training materials and reference guides in SharePoint.
Operations Support:
  • Work in partnership with the OST Manager and team to identify ways to better support data quality across housing programs.
  • Assist in updating and organizing required program documents in Agencywide SharePoint
  • Provide assistance to Programs Support Staff as needed
  • Collaborate with Operations Support Team
  • Assist in monitoring the Team email inbox and triage the customer support requests.
Public Relations/Networking/Liaison:
  • Communicate quality assurance needs to program managers and staff.
  • Develop and maintain positive working relationships with staff and community partners.
  • Participate in professional meetings, workshops, and staff meetings.
